Job Summary:
The Executive Administrative Assistant will perform administrative duties related to the operations of the New Lisbon offices.
Location: New Lisbon, WI
Shift: 1st
Reports to: Director of Human Resources
Compensation: Based on Experience

RESPONSIBILITIES
This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.
- Professional presence as the first point of contact greeting visitors, checking in visitors and directing to appropriate parties
- Screening front desk phones and directing calls to appropriate parties
- Provides excellent customer service and administrative support to the organization
- AR Payment Application (Applying Customer payments to outstanding invoices)
- Open, Sort, Distribute Mail
- Check distribution (stuff checks into envelopes and mail)
- Financial Audit Support (pulling information)
- Misc. Reporting
- Certificate of Insurances
- Epicor ECM imaging (Formerly Docstar)
- Prepare communications, such as memos, emails, invoices, reports and other correspondence
- Create and maintain filing system, both electronic and physical
- Maintain Leer fleet vehicle maintenance records and schedule maintenance and vehicles as needed
- Assist with payroll processing
- Secures hotel reservations for Leadership team, visiting customers or potential recruitment candidates as requested
- Coordinates catered lunches, snacks for meetings and employee engagement activities
- Provides administrative support to the Leadership team as requested, including presentations, meeting preparation, and other duties as needed
- Secures reservations of off-site locations for meetings
- Acts as notary public for company
- Perform other administrative tasks as requested
QUALIFICATIONS
- Requires education generally equivalent to an Associate degree or related experience.
- 3 to 5 years of Executive administrative support experience; HR experience a plus!
- Requires mathematical skills that require the ability to add, subtract, multiply and divide.
- Requires a strong knowledge of Microsoft Office applications, including Excel, Outlook and Word.
- Requires effective oral and written communications skills to interact with all employee levels within the company.
- Ability to maintain confidentiality.
- Adhere to all safety policies and procedures.
