Have you ever used shorthand, coordinated Executive travel, planned meetings, handled an executive's calendar, used Excel, Microsoft 360, Word, and Teams?
Do you have experience in Executive Administration work? Are you knowledgeable in the service business? You can use both of those skills in this Executive Administrative Assistant position. We are currently recruiting for an Executive Admin position at a leading locally owned service company catering to the hospitality, lodging and healthcare industry.
Core Responsibilities:
- Provides administrative support by performing, organizing, coordinating and expediting highly critical and sensitive tasks, initiatives and special projects, including personal assistant related work.
- Collaborates with various individuals, departments and other teams to obtain information and communicates to the executive and team as necessary
- Uses knowledge of executive's job and method of operation to interpret information, instructions, and initiatives to provide direction, support and coordination
- Rectifies routine issues and follows up on pending matters
- Answers and handles incoming phone calls
- Inbox management via Outlook
- Calendar Management
- Travel Coordination
- Reconciles weekly expenses of assigned executives
- Conducts various research using internal and external sources
- Material and presentation preparation
- Provide support, including office management schedule/calendar management, general support functions, and meeting preparation for executives and senior leaders
- Prepare meeting agendas, attend meetings to record minutes, compile, transcribe, distribute minutes of meetings, and track action items as needed
- Respond to phone calls, handle messages, daily mail, and greet visitors
- Schedule team events and help with logistics
