We are excited to announce that we are growing and looking for an Executive Administrative Assistant for our CEO.
This position is located in our corporate offices in beautiful Sarasota.
Position Overview:
This is a full-time role for an Executive Administrative Assistant We are seeking a highly organized and motivated individual to support our Chief Executive Officer (CEO) and Chief Operations Officer (COO).
This position will provide administrative support to the executive team by scheduling appointments, drafting and tracking emails and correspondence, booking travel, managing expense reports, and offering general administrative assistance daily.
Key Responsibilities:
- Administrative Support:
- Assist with scheduling meetings, appointments, and travel arrangements for the COO and CEO
- Prepare and edit correspondence, communications, presentations, and other documents
- Facilitate communication between the CEO and internal/external stakeholders
- Act as a liaison between the CEO and other executives, clients, and external partners
- Draft emails, memos, and other communications as directed
- Maintain organized paperless files and records electronically
- Project Assistance:
- Support the COO and CEO in managing various projects, ensuring timely completion of tasks
- Conduct research and compile data to support strategic initiatives and decision-making
- Assist in the preparation of reports, summaries, and presentations
- Meeting Coordination:
- Prepare agendas, take minutes, and follow up on action items from meetings
- Prepare meeting materials and take notes throughout the meetings
- Coordinate logistics for meetings and technology setup
- Special Projects:
- Participate in special projects and initiatives
- Provide support in event planning and execution
- Prepare PowerPoint presentations
Qualifications:
- 5+ years of experience in an executive assistant role, preferably in a dental or healthcare company and/or equivalent education (Bachelor's degree) and experience
- Strong organizational and time-management skills with the ability to multitask
- Proficiency in Microsoft Suite
- High level of discretion and confidentiality
- Ability to work independently and as part of a team
- Strong analytical and research skills
- Agility and adaptability in a fast-paced environment
- Positive attitude with excellent verbal and written communications skills
