Job Summary
The Executive Analyst is a member of the UCSF School of Dentistry Dean's Office and provides high-level analytical and administrative support to the Dean's Office and its teams assisting with operational programs administration. This position also provides individual support to the Dean and Vice Dean of Administration and Finance/Chief of Staff, including managing their schedule, coordinating meetings and commitments, and supporting organization of events.
Responsibility for providing high executive level of support and for directing inquiries to appropriate resources or contact as needed requires an understanding of Deans' goals and priorities, and a thorough understanding of the School's structure, academic programs, policies workflow and communication demands. The ideal candidate for this role will be a detail-oriented individual skilled in calendar management, travel coordination, and administrative tasks, essential for ensuring the Deans' duties are executed seamlessly. Exceptional communication and organizational skills are vital for efficiently managing correspondence, coordinating meetings, and maintaining databases.

This is a 60%, Career role (24 hour work week).
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
The salary range for this position is $75,700 - $123,100 (Annual Rate based on a 100% role).

We provide comprehensive oral health care services with over 125,000 patient visits per year. We offer a four-year DDS program as well as a two-year program for international dentists that culminates in the DDS degree. We have numerous specialty residencies, PhD and Master's degree programs in Oral and Craniofacial Sciences, a combined DDS-PhD program, and a combined PhD-dental specialty training program. Other graduate programs include Craniofacial and Mesenchymal Biology and Bioengineering, and a DDS/MBA program. The School is one of the preeminent oral and craniofacial research enterprises in the world, ranking number one in National Institute of Health funding for 24 consecutive years.
UCSF Dental Center
The Dental Center is a cohesive entity within the structure of UCSF's School of Dentistry that oversees and operates all clinical activities in the dental school. Its primary goal is to provide outstanding, seamless, cutting- edge patient-centered care. The Dental Center also aims to provide state of the art clinical experiences and education to students; deliver cost- effective patient care; and generate resources for reinvestment in the School of Dentistry's educational, clinical and scholarship missions. UCSF Dental Center's primary services include all advanced dental specialty programs, and the general dentistry and specialty faculty practices. A majority of the Dental Center's clinical facilities are located at the Parnassus Campus, with affiliated clinics at Buchanan Dental Center and an additional presence at Mission Bay and the Priscilla Chan and Mark Zuckerberg San Francisco General Hospital and Trauma Center.
Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training.
- Three or more years of relevant experience and / or equivalent experience / training
- 3+ years of experience in and administrative support or project-oriented role, ideally in an executive office
- Knowledge of federal regulations such as FERPA and HIPAA.
- Thorough knowledge of common organization-specific and other computer application programs.
- Solid analytical / problem-solving skills.
- Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
- Strong service orientation.
- Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing.
- Advising and counseling skills.
- Ability to multi-task with demanding timeframes.
- Ability to use high-level discretion and maintain a high level of confidentiality.
- Solid skills in problem identification.
Preferred Qualifications
- Familiarity with the organization's processes, protocols and procedures.
- Knowledge of common organizational systems such as but not limited to Outlook, MS Teams, Bearbuy, MyExpense, Smartsheet and Connexxus
