SUMMARY
The Executive Assistant will play a critical role in supporting the executive team’s daily activities, handling administrative tasks, and serving as the central point of contact for office coordination. This role requires excellent organizational, communication, and multitasking skills, with a strong attention to detail and ability to work independently.
WHAT YOU’LL OWN…
- Executive Support
- Provide daily administrative support to executives, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare reports, presentations, and other documents for executive meetings.
- Manage and prioritize incoming communication, handling sensitive information with confidentiality and discretion.
- Organize and coordinate company events, meetings, and team off-sites.
- Office Administration
- Oversee general office operations, including ordering supplies, managing vendors, and coordinating office maintenance.
- Act as the main point of contact for facilities management, ensuring a well-organized, clean, and efficient office space.
- Assist with onboarding of new employees, ensuring they have necessary access and equipment.
- Manage incoming and outgoing mail, package delivery, and courier services.
- Assist with budget tracking and reporting for office expenses.
- Perform other administrative tasks and projects as needed to support the business.
QUALIFICATIONS
- Comfortable with web-based software and tools
- Familiar with Microsoft Office and Google Workspace productivity tools
- Must be able to communicate effectively and professionally via chat, email, phone, and texting
- Ability to interact with executives, upper-level managers, and external vendors
- Must be able to multitask, problem-solve, and implement innovative processes within a fast-paced environment
- Strong organizational and time management skills, and ability to prioritize.
