Executive Assistant – Investment Management – Boston, MA
We are seeking candidates for an Executive Assistant position with a highly successful investment management firm located in Boston, MA. This position will support members of two teams and will be responsible for calendar management, travel coordination, uploading marketing materials. The ideal candidate will have 2+ years of administrative experience preferably within investment management OR professional services and experience utilizing MS Outlook for email, calendar management, and meeting coordination.
This is an 8+ month contract that will pay $40/hr (depending on experience) within a 40-hour work week. This position is required to be onsite 3 days/week in the Boston office.

Responsibilities:
- Provide logistical coordination of meetings with various constituencies
- Maintain calendar management via MS Outlook
- Travel coordination with our travel agency including transportation and hotel bookings
- Meeting preparation including gathering and distributing materials
- Prepare internal and client-facing documents and presentation materials in Word, Excel, PowerPoint, and Adobe Acrobat
- Document management across various SharePoint sites
- Attend team meetings and take/distribute meeting notes
- Obtain data/information using various internal applications
- Organize and facilitate team events
- Provide back-up for other department support positions as needed
- Manage file systems, expense reporting, etc.
- Maintain attentive coverage of email
- Assist with ad hoc project work, as required
- Bachelor’s degree is required
- 2-3 years of administrative experience in investment management or professional services is preferred
- Proficiency in MS Office (Word, Outlook, Excel, & PowerPoint) is required
- Experience with Adobe Acrobat preferred
- Strong interpersonal, verbal, and written communication skills
- Outstanding service orientation; reliable, consistent, proactive, and responsive
- Comfortable with technology and learning new tools
- Detail orientation and a general comfort in a data-rich environment
- Excellent organizational, multi-tasking, and prioritization abilities
- Strong work ethic and positive attitude; ability to work independently and within a team
