Position Summary:
The Executive Assistant supports and manages the daily tasks, projects, and schedule for the Boulder JCC's Executive Director and serves as the primary liaison between the Executive Director and other positions and functions within the JCC. The Executive Assistant also supports and serves as the liaison between the Board of Directors and the Boulder JCC, supporting effective governance by the Board by facilitating communications to and from the Board and preparing for and managing Board meetings. This position sits on and provides support for the Boulder JCC's Senior Leadership Team, the team that helps guide, manage, and lead the organization's more than 80 staff members and the organization as a whole in concert with the Boulder JCC Board.

KEY RESPONSIBILITIES:
Executive Support
- Manage a high volume of scheduling for the Executive Director and provide scheduling support for the Senior Leadership Team
- Manage phone and email traffic on behalf of Executive Director; prioritize, address and elevate as necessary
- Arrange travel logistics for Executive Director
- Develop and maintain systems to provide Executive Director with efficient and confidential access to information
- Draft and edit correspondence, presentations, and reports on behalf of Executive Director
- Attend meetings as representative of Executive Director
- Conduct research and analysis to support Executive and Senior Leadership Team management and decision making
- Maintain Executive Director's list of tasks to ensure timely completion and additions as requested or needed
- Leverage Executive Director's time by anticipating and proactively addressing needs and priorities
- Maintain office supplies and anticipate needs for new purchases in a cost effective and timely manner
- Organize all aspects of Executive Director meetings including room bookings, room setup, materials, food, and take notes as requested
- Serve as a critical public interface for Boulder JCC
- Provide stewardship and support to the Executive Director's donor portfolio through meeting scheduling and supporting requests
- Support the Senior Leadership Team by attending meetings, taking notes, and providing follow-up on tasks and assignments
- Support the Executive Director in other projects and priorities as needed
- Provide structural, planning and logistical support to all cultivation and civic events in concert with Executive Director, Board, and Development Team
- Support the Senior LeadershipDevelopment Team with calendar management and booking of meeting space, as needed
- Manage roles of Senior Leadership Team and Board members at events
- Manage relationships with event-related vendors in coordination with the Senior Director of Development External Engagement and the Senior Director of Operations, as needed
Board Support
- Ensure Boards' preparation for Board and Committee meetings through timely provision of materials
- Maintain, update, and organize board documents and archives
- Support the Executive Director, Board Chair, and Executive Committee in developing Board reports, meeting agendas, and materials
- Serve as primary liaison to the Governance Committee
- Work with Board Committees to manage meetings and initiatives
- Coordinate all logistics for Board and Committee meetings
- Compile and organize board performance metrics and incorporate into Board meeting materials
- Attend Board meetings, take minutes, and coordinate filing of minutes with the Board Secretary
- Act as the liaison between Board committees and the organization on all administrative and organizational matters
- Coordinate all Board communications and events
- Understand Board policies, guidelines, and Bylaws
- Facilitate connections between Board members and staff
Requirements
QUALIFICATIONS:
- 5+ years experience preferred in executive support, with relevant non-profit experience
- Strong experience using Google applications, Microsoft Office Suite, file sharing platforms such as Dropbox, and project management tools like Asana and Teamwork
- Excellent written and oral communication skills
- Excellent interpersonal skills with the ability to work collaboratively with internal and external stakeholders
- Good judgment and strong inclination to be proactive
- Resourceful and creative in problem solving
- Able to interact with senior level executives and sophisticated donors
- Ability to manage projects, organize and complete complex tasks and prioritize multiple assignments and deliver on a timely basis
- Ability to thrive and succeed in a fast-paced environment
- Excellent computer/database skills
Strong attention to detail and follow up skills - Ability to handle sensitive and confidential information with discretion
- Proficiencies with technology, including databases, and willingness to adapt to new technologies
- Ability to work some evenings and weekends and attend Boulder JCC events as requested
COMPENSATION
This is a full-time position with an hourly range of $29.66-$34.47 per hour commensurate with experience. Employee benefits currently include health insurance (medical, dental, and vision) with access to a health savings account (HSA) with generous employer contributions, a 403(b) retirement savings plan with immediate vesting and an employer match up to 4%, voluntary disability, life, and accident insurance, substantial staff discounts, as well as plentiful time off (vacation, sick, and holidays including a full week during Thanksgiving).
