Executive Assistant (C-Suite) - MultiTracks.com

MultiTracks.com is seeking an experienced and dedicated C-Suite Executive Assistant to support one or more individuals on our Senior Leadership Team with high-level business and personal tasks. The ideal candidate will thrive on change and problem-solving, embracing new situations, environments and challenges with enthusiasm and can quickly adjust their strategies to accommodate evolving circumstances. This role is in Cedar Park, Texas and can be fully in-office or open to the possibility of a hybrid schedule, post-onboarding.

What You’ll Do:   

• Manage complex calendars and schedule meetings, personal appointments and social commitments, often across multiple time zones    

• Attend executive-level meetings to take detailed notes, track key discussion points, and document decisions   

• Ensure timely follow-up on action items by coordinating with relevant stakeholders and tracking progress to completion  

• Prioritize tasks, manage deadlines and optimize the executives’ time    

• Act as the point of contact for internal and external stakeholders, discerning immediate importance amongst competing priorities   

• Arrange travel logistics including flights, accommodations, ground transportation with a detailed itinerary for travel   

• Ensure seamless coordination between schedule and commitments 

• Collaborate effectively with other members of the executive team and administrative staff to ensure efficient operations and support across the organization    

• Serve as the liaison between the executive and the legal team or external counsel 

• Oversee special projects, such as planning events, managing family-related projects, or coordinating with contractors and service providers    

Requirements:   

• Bachelor's degree in business administration, administrative management, or another related field  

• Minimum of 5 years of combined experience as an Executive Assistant, Legal Assistant, Travel Planner, or comparable administrative function 

• Ability to coordinate projects and work independently  

• Experience coordinating events, meetings, and special projects  

• Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines effectively  

• Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels of the organization  

• Expert-level proofreading and editing skills with a basic understanding of legal terminology and experience working with contracts or agreements 

• Proficiency in Microsoft Office Suite   

• Willingness and ability to learn new software as needed  

• A can-do attitude with an aptitude for excellence  

Bonus but not required:   

• Previous experience in the SaaS industry     

• Familiarity with legal processes, contract terminology, or experience in liaising with legal teams   

• Familiarity with MultiTracks.com products    

• Previous experience in working with business operating systems 

• Texas Notary License  

• Additional Certifications such as Certified Administrative Professional (CAP), Paralegal Certificate, or Project Management professional (PMP)
