This is a hybrid position based in our Chicago office.
Job DescriptionAs an Executive Assistant you will take on the key role as the primary support to the President, North America, right from the heart of NIQ's vibrant Chicago office.
Responsibilities:
- Coordinate scheduling and preparation of all internal/external C-Suite engagement opportunities.
- Arrange complex, detailed (domestic and international) travel plans, itineraries, agendas, and compile all necessary documents for travel-related meetings.
- Other day-to-day administrative responsibilities as required, including supporting team activities and internal events (create meeting agenda, prepare meeting space, order catering, lead day-of execution of events, etc.).
- Serve as a strategic partner to the President, with a deep understanding of business priorities to effectively manage time, filter communications, and prioritize tasks based on impact.
- Organize and manage email communications, distilling information to ensure clarity and quick decision-making.
- Develop and align agendas and meeting materials to focus on immediate business needs, facilitating productive, outcome-driven meetings.
- Maintain a comprehensive understanding of the organization’s calendar, including key business cycles and board responsibilities, ensuring all engagements are seamlessly integrated.
- Demonstrate adaptability in a fast-paced environment, proactively managing the President’s schedule and commitments to optimize productivity.
- Provide efficient flow of documentation requiring approval as needed.
- Prepare and submit monthly travel and expense reports as well as all necessary invoices for payment.
- Provide extensive calendar management for all internal and external request.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities. Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Presidents time and office. Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Strong work tenure: 5 to 10 years of experience supporting Senior Executives, including organizing events and executive-led meetings (both internal and external).
- Meticulous attention to detail, strong multitasking, and problem-solving skills.
- Thrives in a fast-paced, high-pressure environment and enjoys being challenged.
- Strong interpersonal and verbal/written communication skills.
- Professional demeanor and ability to interact with senior executives.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Expected to be present in the Chicago office (a couple days a week when President is not traveling).
- Highly Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint).
