OVERVIEW:
Community Church in Rochester, MN is hiring a key office position that requires a passionate administrator with a servant’s heart. This position supports the Lead Pastor, manages the Church’s HR needs and fills the role of go-to person for all church inquiries. This is a full-time, onsite position, with health benefits and PTO. Responsibilities are primarily Monday through Friday with occasional evening and weekend functions. Moderately-heavy computer experience, using the suite of Microsoft Office products, is essential. PURPOSE:

The Executive Assistant provides support to the overall operations and ministry of Christ Community Church. This role is the primary administrative support to the Lead Pastor, supports the Operations department and manages Human Resources. This role coordinates communication among all department administrative assistants who report to their respective department heads.

ESSENTIAL FUNCTIONS:
- Provide primary administrative support for the Lead Pastor, including calendar and communication.
- Assist Director of Operations as needed.
- Maintain and distribute the Pastoral Leadership Team’s meeting agenda.
- Lead weekly admin/operations meeting under guidance of the Dir of Operations. Create and distribute the agenda.
- Maintain and distribute the office phone list.
- Provide back-up support to other admin staff as needed.
- Assume the role of Lead Administrative Assistant.
- In partnership with Hospitality Coordinator, plan and execute special events. Some of these events occur outside office hours on evenings and weekends.
- Using the church database, schedule ministry functions and meetings, and reserve facility resources.
- Maintain ongoing awareness of all ministry activities.
- Interface with the Communications department regarding promotions and projects.
- Make travel arrangements and prepare travel itineraries for ministry related trips.
- Order ministry resources and materials as needed.
- Process background checks for new CCC staff.
- Print, copy, collate, fold, bind and disseminate materials and ministry resources as needed.
- Oversee bulk mailings.
- Onboard new team members.
- Setup and maintain employee files and payroll database.
- Be aware of and communicate Pastoral Leadership Team office hours.
- Take ownership of the Team Member Handbook and other HR related forms and documents.
- Record, manage and report on a subset of ministry metrics. and in partnership with the Business Manager, maintain and distribute all ministry metrics reports.
- Maintain, monitor and report on the CCC membership and total church database.
- Serve as first contact or host, representing Christ Community Church in a professional and caring manner.
- Receive and respond to, ministry, facility and event inquiries.
- Monitor church voice mail and respond or distribute messages appropriately.
- Monitor church email and respond or distribute messages appropriately.
- Develop and maintain knowledge of ministry areas to ensure that all information inquiries are answered or directed to the appropriate person in a timely manner.
- Assist other front office admin staff in maintaining an inviting, presentable reception area.
- Other administrative functions as needed
RELATIONSHIPS:
- Reports to the Director of Operations with a dotted line report to the Lead Pastor.
- Works effectively with all CCC/KK employees
- Viewed as the “go to” person for all corporate inquiries
