Job Description Summary

This position will provide direct administrative support to the Institute for Biomedical Informatics and affiliated service centers. Duties will include operational support for the institute, purchasing, travel arrangements, administrative support for ongoing seminar series, executive personnel calendars and processing reimbursements. The Executive Administrative Assistant will manage multiple priorities simultaneously, providing immediate responses to inquiries both internal and external. The candidate will be a motivated self-starter with the ability to quickly shift gears and multi-task in order to manage the daily requirements and goals for the institute.





Job Description


Job Responsibilities



+ General operational and administrative support for the Institute for Biomedical Informatics, including maintaining inventory and ordering supplies, placing service requests with internal and external providers, serving as first point of contact for the Institute.


+ Provide administrative support to the IBI Director, the Clinical Informatics Core, and the Bioinformatics Core, including correspondence and executive team calendar management.


+ Maintain IBI Purchasing Card, manage purchase orders, process reimbursements for internal and external travel.


+ Assist the Administrative Coordinator and Program Manager to plan all aspects of multi-department long-range seminars, lecture series, retreats and other special events, incl. travel arrangements, etc.


+ Coordinate and schedule visits for prospective IBI faculty


+ Other duties and responsibilities as assigned





Qualifications





+ Bachelor of Arts, Bachelor of Science, and 3 to 5 years of experience or equivalent combination of education and experience is required.

Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
