We are currently seeking a polished, professional, and dynamic high-level Executive Assistant to support our Chairman/ Chief Executive Officer and President. The ideal candidate will serve as a key member of our Executive Team and play a crucial role in ensuring the smooth and efficient operation of our executive functions.
Role Overview:
As an Executive Assistant, you will act as a "gatekeeper" managing the demands and priorities of two top executives. Your role will involve a range of critical administrative functions, requiring excellent judgment, discretion, and flexibility. You will proactively anticipate the needs of the executives, solve problems, and multitask effectively. This position demands exceptional organizational skills, communication abilities, and a commitment to maintaining confidentiality.
Key Responsibilities:
- Perform critical administrative functions, including typing, proofreading, editing documents, correspondence, and reports.
- Prepare sophisticated marketing presentations based on executive input using PowerPoint and other programs.
- Develop and maintain complex spreadsheets using excel, databases, and reports.
- Gather data for key reports and tracking measurements as directed by executives.
- Maintain an efficient paper and electronic filing system for quick information retrieval.
- Suggest process and procedure improvements to enhance efficiency and communication.
- Stay updated on the latest trends and technology related to administrative functions.
- Identify and suggest ways to improve key processes and procedures.
- Screen phone calls and visitors, take accurate messages, and ensure timely delivery.
- Resolve inquiries independently and handle confidential information with discretion.
- Manage scheduling, calendar invites, appointments, travel reservations such as flight, hotel, etc. for itineraries, and related arrangements.
- Plan and coordinate on-site and off-site events, conferences, meetings, and dining reservations on local and global levels.
Qualifications:
- 5+ years of related experience in an executive assistant role supporting C-Level executives.
- High proficiency in Microsoft Office (Word, Excel, PowerPoint) and department-specific software.
- Exceptional verbal and written communication skills with a strong attention to detail.
- Excellent organizational skills with the ability to prioritize, meet deadlines, and work under pressure.
- Strong business acumen with the ability to anticipate needs, make sound decisions, and predict outcomes.
- Commitment to confidentiality and the ability to handle sensitive information.
- Flexibility in work schedule to meet business needs for projects and meetings.
- High School Diploma required; paralegal training, accounting experience, and manufacturing industry knowledge are a plus.
