Job Description
Shopbop is seeking a proactive and curious individual for an Executive Assistant to support Shopbop's Chief Technology Officer. Shopbop's Technology teams, spread across Madison, WI and New York, NY, are at the heart of Shopbop's mission to be the destination for style inspiration and fashion discovery through a fun, curated shopping experience. This role will be responsible for understanding both team and wider customer priorities, react with appropriate urgency to engage & partner with the right leaders, and proactively facilitate problem solving. A successful candidate in this role will have an interest in understanding how Technology can impact a wide array of customer & internal partner needs. The ideal candidate will be detail-oriented, organized, and demonstrate strong bias for action.
Key Role responsibilities:
Ownership of calendar management for 1-2 leaders. Plan, negotiate, and schedule meetings to accommodate managers and others. Use discretion and judgment to determine priority of meetings.
Manage complex travel arrangements and event planning such as off-sites or team celebrations. Complete business expense claims promptly and follow up on reimbursements if necessary.
Utilize time management and organizational skills to manage responsibilities efficiently while navigating ambiguity and priorities effectively. Organize and maintain information that may be sensitive, confidential or technical in nature.
Identify opportunities to improve work processes to leverage own and department's workload.
Act as a liaison for direct reports and business stakeholders while collaborating with other Executive Assistants and business partners on key business events and meetings.
Attending key meetings, tracking key discussions points and helping drive completion of key deliverables.
Help to develop & maintain new mechanisms within the team.
Basic Qualifications
2+ years of senior level leadership support, or 1+ years of Client experience
High school or equivalent diploma
Experience with Microsoft Office products and applications
Experience with executive level calendar management
Preferred Qualifications
Bachelor's degree
Experience in a fast-paced, high-tech company
Able to successfully navigate a tech-forward and widely distributed personnel work environment
Superior attention to detail and ability to meet tight deadlines
Demonstrated ability to design and improve processes
Years of Experience: 2+
Degree or Certification:
High school or equivalent diploma
