What We're Looking For:
The Strategy department is looking for an Executive Assistant to support the VP – Strategy & Corporate Development and the team's administrative needs.
In this role, you will provide Executive Administrative support to the offices of the VP of Strategy and Corporate Development, and Director of Strategic Planning and Integration by providing excellence in the facilitation of the schedules for the VP and Director by maintaining the calendar for all 1:1's, leadership meetings, department divisional meetings, and day away team events. Ensuring effectiveness, you will capture all meeting minutes, actions, decisions, and next steps for all leadership meetings. You will develop a tracking catalog of all action items to confirm status and completion to be communicated to leadership team members. You will then collaborate with the leadership team to continuously add value to all meetings. In addition, you will process all expense reports, reconcile credit card transactions for the Executive team, and follow up with staff members on monthly personal payments and late fees incurred on corporate credit cards. You will assist with staff recognition, new employee onboarding and organizing team events. Also, you will schedule all domestic and international travel and assist with building itineraries and registrations for conferences.
Required qualifications:
- High school diploma or equivalent
- Minimum of 5 years of related experience
Skills to be successful in the role:
- Ability to prioritize projects and multi-task in a fast-paced office environment.
- Ability to communicate effectively with all levels of leadership and support staff.
- Proficient in Microsoft Outlook and Teams.
- Proficient in Microsoft Office applications (Word, PowerPoint, Excel) and SharePoint.
- Willingness to learn new systems and processes required for role.
- Well-developed organization skills, and a strong attention to detail.
- Flexibility to pivot to priority work of the team as needs arise.
- Self-motivation, attention to detail and efficiency in work.
- Ability to work with other administrative assistants within the broader Technology Division on initiatives and activities that affect all employees within the global Technology organization.
