As the Executive Assistant III, you will play a critical role supporting the Chief Financial Officer (CFO). You'll be responsible for a variety of duties, including handling complex calendars, arranging travel, preparing meeting agendas and taking notes at meetings, prioritizing and responding to emails, answering and returning phone calls and organizing and maintaining records. What you'll do on a typical day:
- Provide high-quality email, calendar management, and travel services to CFO
- Ensure that the CFO is always supported by anticipating workload and provision of appropriate materials and briefing and agendas
- Building a Finance annual calendar for CFO and Finance Leadership team
- Leadership team meeting organization and management: regular meetings, virtual and off-site meetings
- Carry out accurate booking of global travel arrangements according to policy and comprehensive itineraries produced, recommend suitable agendas for travel and meetings
- Produce and maintain a yearly timeline of travel and key meeting dates
- Prepare agendas and documentation, manage guests, attend, maintain action logs for meetings
- Liaising with key stakeholders on a daily basis (e.g. other business areas, external stakeholders)
- Venue sourcing, logistics, and communications support/management for finance-wide events
- Expense processing
- Ad-hoc support with wider administrative tasks and projects as required
What you need to succeed at GXO:
- Bachelor's degree or equivalent related work or military experience
- 2 or more years of experience in an administrative or executive support role
- Advanced experience with Microsoft Office programs, including Visio, PowerPoint, and SharePoint including creating/using charts, graphs, and animations
- Demonstrated ability to effectively interact with senior management, while maintaining a high level of confidentiality
- Proven ability to successfully prioritize ever-changing needs and provide accurate updates on issues and status
- 5 years of administrative assistant experience, 3 of which were providing support at the VP level
- Preferred experience in supporting teams who manage capital market desks, equity capital markets, debt capital markets, equity sales or equity research teams
- Excellent verbal and written communication skills
- Ability to clearly document discussions without a deep understanding of the subject matter
- Solid ability to plan effectively for systematic results and organize effectively to achieve greater results; ability to quickly identify, analyze and solve problems
- Ability to multitask with an innate ability for follow-up and follow-through on all tasks
- Solid knowledge of grammar, spelling, and punctuation to type from draft copy, review and edit reports, and create accurate correspondence
