About the Job
General Purpose of the job:
To provide the CEO support by performing a variety of high-level administrative activities, including: strategic calendar management; travel arrangements, meeting planning and support, correspondence, time management, stakeholder management, preparation of reports, and performance of a wide range of critical clerical and management duties.
Responsibilities:
- Plans, coordinates, and ensures the effective and efficient use of the CEO's time.
- Assists the CEO with a broad variety of administrative tasks that include managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
- Prioritizes conflicting needs, prompt, proactive, and capable of following through on projects to successful completion, often with competing deadlines.
- Coordinates meetings and strategic activities with the senior leadership team.
- Assists/supports members of executive team with specific tasks as directed by the CEO.
- Scheduling of board subcommittee meetings, surveying committee members.
- Serves as the CEO’s administrative liaison to the Board of Directors and manages Board activities.
- Coordinates Committee, subcommittee and ad-hoc meetings and maintains confidential files and contact information.
Requirements:
- Five to seven years providing support for C-Level Executives.
- Proficient in modern office technologies, applications, and tools.
- Excellent communication and organizational skills with the ability to be proactive to anticipate company needs.
- Ability to respond to urgent requests and issues that may arise outside of standard business hours.
- Adept at building knowledge networks.
- Ability to use sound judgement in decision making, analytical thinking, and strong attention to detail.
- Proven ability to maintain strict confidentiality and discretion in communicating with others.
- Performs well under stressful conditions.

Working conditions and physical effort:
- Work involves moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
- Work environment involves some exposure to hazards or physical risks, which require following basic safety precautions.
