We are seeking a proactive and organized Executive Assistant to work closely with the business owner in managing day-to-day operations and supporting the overall growth and success of the business. In this role, you will be responsible for handling a wide range of administrative tasks, including calendar management, scheduling meetings, coordinating travel arrangements, and managing correspondence. Additionally, you will assist in client communications, project management, and office organization. The ideal candidate will be detail-oriented, possess strong communication skills, and thrive in a fast-paced environment. Responsibilities
1. **Marketing Support:**
- Assist in monitoring marketing initiatives and lead generation strategies.
- Track lead costs and manage lead disposition and management processes.
- Coordinate with recruiters to place job ads and ensure effective talent acquisition.
2. **Online Presence Management:**
- Manage Google business page and monitor online reviews.
- Engage with customers and address inquiries or feedback promptly.
3. **Documentation and Process Development:**
- Develop and maintain playbooks for various operational processes.
- Video record playbooks for maximum retention and training efficiency.
4. **Administrative Support:**
- Schedule and coordinate trainings, meetings, and one-on-one lunches.
- Conduct employee reviews and assist with HR tasks such as payroll and bookkeeping.
- Manage the company inbox and handle correspondence as necessary.
- Procure and manage office supplies, schedule cleaning services, and coordinate water service.
5. **Financial Management:**
- Process and pay invoices accurately and on time.
- Handle cancellations and manage legal forms as needed.
6. **CRM and Lead Management:**
- Utilize CRM tools to manage leads and track interactions.
- Liaise with lead vendors and ensure efficient lead management practices.
7. **Regulatory Compliance:**
- Assist in maintaining licensing requirements and compliance with legal regulations.
Requirements
- Proven experience as an executive assistant or similar role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in CRM tools and Microsoft Office Suite.
- Attention to detail and problem-solving skills.
- Ability to work independently and prioritize tasks effectively.
