SEARCH Group Partners is seeking an Executive Assistant for a Financial Advisory Firm located in Lehi, UT. This is a 100% in-office role.
The Executive Assistant's responsibilities include managing calendars, meeting preparations, setting follow-up tasks, making travel arrangements, event planning, and more. This person will be working directly under the CEO and COO of a family-owned financial advisory firm.
Here are a few things you'll likely find yourself doing in this role...
The highest priority in assisting the CEO is to oversee the coordination of his work calendar and family calendar. This will require coordination with his wife on scheduling vacations, family events, coaching schedule, etc. The ideal candidate will be one who thinks two and three steps ahead and handles any potential conflicts before any issues arise. The CEO has an extremely demanding schedule with very little room for error. This will also include scheduling travel: flights, hotels, rental cars, restaurant reservations, etc.
- Manage executives' calendars and set up meetings
- Perform meeting preparation including scheduling and agenda creation as well as meeting follow-up tasks
- Create financial reports in Microsoft Excel
- Make travel and accommodation arrangements
- Manage information flow in a timely and accurate manner
- Format information for internal and external communication memos, emails, presentations, reports
- Take minutes during meetings and coordinate follow-up tasks
- Assist with planning team events and contributing to client relations by facilitating client gifts
Here's what you need to have
- Work experience as an Executive Assistant, Personal Assistant, or similar role
- Excellent MS Office knowledge
- Quick learner and strong computer skills
- Outstanding organizational and time management skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
