Job Description:
The Executive Assistant proactively anticipates needs to support a variety of administrative functions for an executive leader or team of executive leaders in a time sensitive, accurate, and confidential nature using discretion and professionalism.
This position is M-F hybrid position.
Works with the regional neuroscience team which includes hospital, outpatient, neurosurgery, and spine physicians and operators. Position is mainly remote but when in person the location is at the IMED campus in Murray.
Proactive approach to executive assistant and administrative duties. Knowledge and confidence in navigating a large, complex institution and understanding how to leverage to the benefit of neuroscience admin. Skilled in facilitating presentations (PowerPoint) compiling data (Excel) taking notes and minutes (Word). Organizational skills that can pinpoint opportunities to optimize and organize the team administratively.
We are looking for in a candidate:
Strong Communication Skills: The executive assistant should be able to communicate effectively with various stakeholders, including clinicians, administrative staff, and external partners.
Organization Skills: An effective executive assistant must be highly organized, managing schedules, meetings, and documentation to ensure smooth operations.
Understanding of Healthcare and Neuroscience: Familiarity with healthcare practices, particularly in neuroscience, will help the assistant grasp the specific needs and challenges of the service line.
Problem-Solving Abilities: The ability to think critically and resolve issues as they arise is essential in a fast-paced healthcare environment.
Interpersonal Skills: Building relationships and fostering teamwork is vital, so the assistant should be personable and able to work well with diverse teams.
Adaptability: The healthcare landscape is constantly evolving the assistant should be able to work well with diverse teams.
Attention to detail: Precision is key in healthcare settings, so the assistant should be meticulous in their work.
Technology Proficiency: Familiarity with healthcare management software and communication tools can streamline processes and improve efficiency.
Confidentiality and Integrity: Given the sensitivity of healthcare information, maintaining confidentiality, and exhibiting integrity and non-negotiable qualities.
Project Management Skills: Experience in managing projects, including planning and execution, can help support the service lines initiatives.

Primary responsibilities include partnering with the leader on task management, project coordination, executive calendar, correspondence, travel/expense management, response to inquiries and requests, board and meeting management, and support of system service line needs and priorities.
The Executive Assistant provides advanced support of a technical nature including remote meeting management, facilitation of presentations, management of multimedia needs both by the leader(s) and meeting support, as well as post-meeting support. This caregiver works as a competent member of the administrative team, willingly providing back up support when appropriate, and actively supporting team goals and priorities.
The Executive Assistant partners with their assigned leader(s) or designee and serves as a liaison with other internal and external stakeholders including local boards. Under the direction of the leader(s), caregiver will coordinate special projects and initiatives. Work may be cross functional and involve multiple facilities, sites, and/or service lines/departments. This caregiver will create and modify reports and presentations, track and influence performance metrics, and serves as a thought partner to their assigned leader(s). The Executive Assistant may supervise other administrative caregivers.
Minimum Qualifications
+ Demonstrated experience supporting a director, multiple managers or functional area
+ Demonstrated ability to work efficiently and effectively without direct supervision
+ Demonstrated organizational and problem-solving skills with high attention to detail
+ Demonstrated experience managing calendars, correspondence, travel/expenses, remote and in-person meetings
+ Demonstrated interpersonal verbal and written communication skills including tact, spelling, punctuation, and grammar
+ Demonstrated ability to exercise sound judgement and professional behavior
+ Demonstrated proficient time management, ability to prioritize and flex work to align with business operational priorities
+ Demonstrated ability to manage conflicting priorities without loss of composure
Preferred Qualifications
+ Bachelor’s degree. Education must be obtained through an accredited institution. Degree will be verified
+ Experience working in a matrixed healthcare setting
+ Leadership experience (e.g., providing training to others on their job duties, coordinating the work of others, coordinating projects, acting as a team lead, and directly supervising others)
Physical Requirements:
Interact with others requiring employee to verbally communicate as well as hear and understand spoken information.
