Job Overview:
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to serve as the right-hand person to the President. This individual will play a pivotal role in supporting the President by managing documents, assisting with daily tasks, handling travel arrangements, tracking communications, and providing creative input on projects. The ideal candidate is a fast worker with a mature mindset, capable of maintaining a professional presence while managing multiple responsibilities.
Key Responsibilities:
- Assist the President with the creation, review, and management of documents, ensuring accuracy and completeness.
- Handle paperwork including contracts, reports, and confidential files, while maintaining organized filing systems.
- Create, update, and manage Excel spreadsheets for various projects, reports, and tracking purposes.
- Provide data analysis and assist in preparing summaries when needed.
- Arrange domestic and international travel, including flights, accommodations, and transportation.
- Prepare detailed itineraries and ensure all travel plans run smoothly.
- Track and prioritize incoming emails, flagging important communications for the President.
- Respond to emails on behalf of the President when appropriate and manage follow-ups.
- Help plan and organize company events, meetings, and other special occasions.
- Communicate with vendors, ensuring all arrangements are in place and up to the President’s standards.
- Offer creative design insights on marketing materials, presentations, and other visuals.
- Provide creative support in brainstorming and executing marketing initiatives.
- Assist in managing the President's or company’s social media presence by drafting and scheduling posts when needed.
- Serve as a gatekeeper and liaison between the President and various internal and external stakeholders.
- Maintain confidentiality and discretion in handling sensitive matters.
- Complete additional tasks as assigned to ensure the smooth running of the executive office.
Key Qualifications:
- Minimum of 3 years of experience as an Executive Assistant, with exposure to working closely with C-suite executives.
- Proficient in Microsoft Office Suite
- Strong organizational, communication, and multitasking skills.
- Familiarity with design software or an eye for creative layouts is a plus.
- Social media management experience is a bonus.
- Detail-oriented with a "get-it-done" mindset.
- Professional presence and the ability to interact with high-level executives.
- Mature mindset with the ability to handle high-pressure situations calmly.
- Fast worker with the ability to meet tight deadlines and manage multiple priorities simultaneously.
