Job Summary:
The Executive Assistant & Office Manager will provide high-level administrative support and assistance to the Executive Director, other leadership staff, and employees. This includes office operations; managing projects related to events happening within the office and around the state; managing contracts, expenses, and billing systems; and scheduling and email support for the Executive Director. The position requires independent judgment, a welcoming disposition, and the ability to maintain strict confidentiality and discretion.
The ideal candidate will have exceptional organizational skills, the ability to work independently, strong attention to detail, and the ability to multitask effectively. This position combines the responsibilities of managing day-to-day office operations with providing executive-level administrative support.
Key Responsibilities:
Administrative support
- Provide high-level administrative support to executives and senior leadership, including managing schedules, arranging meetings, office events, and coordinating travel arrangements.
- Coordinate logistics for campaigns, hotel arrangements, off-site visits, and conferences.
- Support budget management, reporting, and processing financial transactions such as weekly payables, payroll/PTO, expense reports, and credit card recaps.
- Maintain technology inventory, coordinate upgrades, manage vendor relationships, and hardware and software needs.
- Assist with hiring processes, including job postings, interview scheduling, candidate correspondence, and onboarding/offboarding tasks.
- Handle projects requiring confidentiality, discretion, and independent judgment.
Office manager
- Provide front office support, including monitoring visitors, greeting guests, and accepting deliveries.
- Screen calls, letters, and visitors, answering routine questions, furnishing information, and directing inquiries appropriately.
- Maintain an organized and efficient office environment, including managing office supplies, ordering and restocking, ensuring that all necessary items are available and organized.
- Regularly clean and organize the office, including the refrigerator, storage spaces, and workstations.
- Order and manage business cards, access badges, and parking space assignments for staff.
- Coordinate with vendors and service providers for office maintenance, technology issues, repairs, and other facility needs.
- Coordinate the ordering and inventory management of company swag and office decorations for events and staff needs.
- Handle incoming and outgoing mail and packages, using tools like Stamps.com and UPS.com.
- Other duties as assigned.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field (preferred).
- At least 3 years of proven experience as an Office Manager, Executive Assistant or in a similar administrative role supporting required.
- Proficiency in Google Workspace (Google Drive, Docs, Sheets, Slides) and MS Office Suite (Word, Excel, PowerPoint) required.
- Experience with financial processing and reporting required.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Excellent time management skills with a proven ability to meet deadlines.
- High level of professionalism and discretion in handling confidential information.
