What You’ll Do
The Executive Assistant / Office Administrator (EA/OA) provides high-level administrative support for leaders to ensure they can efficiently accomplish key tasks and company initiatives and facilitates the effective and efficient operations of the Austin office. The EA/OA screens all visitors and determines what level of support they need while offering polite, professional customer service. The EA/OA manages the executive’s daily calendar, including scheduling meetings, confirming appointments, writing itineraries, and arranging transportation. The EA/OA may also train other administrative staff on company policies and best practices.
Minimum Qualifications:
Education and Experience:

High school diploma or equivalent required; bachelor's degree preferred

Minimum 4 years of prior experience as an Executive Assistant and/or Office Administrator
Required Skills and Competencies:

Excellent digital organizational skills, time management skills, attention to detail, and proven ability to meet deadlines

High proficiency with technology, including Microsoft Office Suite (Advanced MS 365 (Word, Excel, PowerPoint, OneNote, Teams, SharePoint, OneDrive)

Essential Duties and Responsibilities:

Organize and maintain Executive calendar(s)
-
Organize, update, and maintain cloud storage
-
Gate keeper for executive’s communication
-
Draft email messages
-
Draft presentations
-
Book travel and create itineraries
-
May be asked to do the same for other executives on an as needed basis

Organize a team
-
Create project tasks/timeline
-
Oversee and follow-up on task completion
-
Maintain project timeline ownership

Manage team meetings and events
-
Facilitator of assigned meetings

Create agendas
-
Record meeting minutes

Event planning

Austin office team events and team building activities (virtual and/or in-person)

Social hours / birthdays / holiday events

Planning for group lunches and dinners (reservations for Exec team, groups, etc.)

Promote employee recognition

Coordinate volunteer activities

Scan and store documents

Review and approve expense report items

In coordination with the Talent Team, scheduling interviews and preparing interviewing documents as required

Assist with data aggregation and report generation as needed

Office Administration Duties :
-
Liaise with property management for office access/ Parking passes/gym waivers, etc.

Manage office logistics for all new hires based in the Austin office

Handle all incoming and outgoing mail and packages/deliveries

Supply ordering
-
Kitchen/groceries ordering and stocking
-
Parking passes/badges
-
Phone system oversight
-
Office vendor oversight (cleaners, document shredders, etc.)

Office calendar administration
-
Work across multiple offices and cross functional groups to organize operations

Receive all signature requests :

Print

Mark for signature

Scan and send to requestor

Store in cloud

Receives and maintains Notary Public certification

Maintains confidentiality of highly sensitive information

Checks email daily and responds appropriately and timely; uses company-provided email for all work-related email communications

Performs all other tasks as assigned

Adheres to company policies and procedures

Demonstrates regular and predictable attendance and punctuality
Travel:
May be asked to travel to various locations on occasion.
Supervision:
This position will report directly to the VP, Hospital Operations
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, phones, and photocopiers/scanners.
This is a hybrid role – generally we are in the office 9-5 M/W/F and work remotely on Tues/Thurs. Due to office maintenance, deliveries and other office needs, this person may be required to be in-office on some Tuesdays or Thursdays.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or listen. The employee frequently is required to sit, stand, walk, use hands to handle or feel, and reach with hands and arms. This position requires the ability to occasionally push, pull or lift supplies and products up to 50 pounds. Specific visual abilities required by this job include close vision and the ability to adjust focus.
