Key Responsibilities:
- Manage the daily operations of the office, ensuring efficiency and a professional working environment.
- Provide executive support to senior management, including calendar management, meeting coordination, and travel arrangements.
- Handle accounts payable duties such as processing invoices, reconciling accounts, and issuing payments.
- Code invoices on Yardi and ensure accurate allocation to respective cost centers or projects.
- Contact vendors to resolve invoice discrepancies and ensure timely payments.
- Manage W9 forms from vendors and ensure compliance with IRS regulations.
- Coordinate draw services and related financial transactions as required.
- Coordinate office events, meetings, and conferences, including logistical arrangements and catering requirements.
- Serve as a liaison between internal departments and external stakeholders, ensuring clear communication and timely responses.
- Manage office supplies and equipment, and oversee facilities maintenance and repairs as needed.
- Assist with special projects and initiatives as assigned.
Requirements:
- Proven experience as an Office Manager, Executive Assistant, or similar role, with a minimum of 5 years.
- Experience in handling accounts payable processes, including invoice processing, vendor management, and reconciliation.
- Familiarity with Yardi/Payscan or similar software for coding invoices would be advantageous.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and multitask effectively.
- Strong communication and interpersonal skills, with a customer service orientation.
- Ability to maintain confidentiality and exercise discretion with sensitive information.
