The Opportunity
Cint seeks a highly motivated and independent Executive Assistant and Office Manager to
support our two US-based Executives as well as our New Orleans office on a full-time
basis. This role begins immediately. The Executive Assistant/Office Manager will have a strong sense of
urgency and the ability to work independently on assignments with sound judgment. The
right candidate will have a strong sense of ownership and resourcefulness, be customer-
service oriented and have the ability to meet tight deadlines. We are looking for someone
who has a high degree of flexibility, can operate effectively in a very fast-moving
environment and has a strong ability to multi-task. A high level of integrity and discretion in
handling confidential information is imperative.
The hours for this role are full time, Monday – Friday. This role requires 3 days in-person at our Cint New Orleans office (Tue-Thur). This is a non-exempt role.
What You Will Do
- Support our CRO, EVP of CX and New Orleans office full time
- Partner with other global EAs to support the needs of the Global Leadership Team
- Coordinate calendar management
- Maintain calendar to manage meetings, travel, out of office, special events and important corporate meetings
- Make travel arrangements expeditiously and accurately; gather and present information on travel times and alternatives in a clear, understandable format with all information needed
- Assist with basic technology functions to support Executive meetings, such as: video conferencing, AV equipment setup, visual presentation, etc
- Work on assignments that are sensitive in nature and require complete confidentiality.
- Prepare and track expense reports and receipts.
- Open/create purchase requisitions and handle other budget/financial process related activities.
- Produce PowerPoint and other written documents.
- Partner with other Executive Assistants and Workplaces team to ensure day to day office management initiatives are met
- Support the planning and execution of quarterly Company Meetings with the Executive Leadership Team
- Ensure our office is a safe & comfortable place for our employees to work in
- Ensure we are compliant with all local, state, and federal health & safety standards Managing lunch catering once per week
- Occasional happy hour setup
- Report facilities requests to building management and ensuring repairs are made as needed
- Oversee the cleaning crew & other contractors (plants, food vendors, etc)
- Help with meetings taking place onsite
- Assist with the planning and execution of occasional local events in New Orleans
- Ensure the kitchen is restocked with food & beverages
- Coordinate special events and important corporate meetings
- Assist with local travel arrangements as needed
- Partner with the Workplaces team to ensure day to day global office management initiatives are met
- Mail-handling and shipping/receiving, including scanning all mail and distributing to the correct parties
- Handling special projects and events as they come up (e.g., conferences, local corporate/team events, holiday events, new employee first-day welcome)
What We Are Looking For
- Significant office admin, office management, or similar combined experience in busy, fast-paced environment
- Experience with managing calendars and schedules, C-Suite level preferred
- Experience with events & local dining a plus
- Ability to thrive in a fast-paced environment and be proactive and anticipate needs
- Must possess exceptional professionalism and superior interpersonal and communication skills (both written and verbal) with a demonstrated ability to collaborate effectively with all levels of leadership and teams
- Must have experience in vendor management
- A love of technology and using non-paper processes to get things done
- Experience coordinating meetings internally and externally, and coordinating events cross multiple time zones
- High integrity and discretion on confidential and sensitive issues
- Proficient in both Google & Microsoft Office Suite, specifically Google Calendar, Google mail, Word, Excel, and PowerPoint
- Proficient in event booking
- Proficient in travel booking
