We are actively seeking to fill the role of Executive Assistant. Reporting to the President, the Executive Assistant will provide direct support to our on-site and remote executive team. Responsibilities:Communication:
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Screen and direct phone calls and distribute correspondence.
- Draft and manage email communications on behalf of executives.
Project Management:
- Prioritize and manage multiple projects simultaneously and ensure prompt follow-through.
- Perform high level administrative duties, including but not limited to, the preparation of special reports, PowerPoint presentations, and maintenance and tracking of confidential information.
- Conduct research, compile data, and prepare reports for review.
Meeting and Event Coordination:
- Organize and coordinate executive meetings, including preparing agendas and materials.
- Arrange travel itineraries, accommodations, and logistics for executive travel.
- Plan and execute corporate events and functions onsite and offsite. Oversee set-up and breakdown of meetings and corporate functions, including room coordination, calendar updates, meal ordering, and contract with outside vendors when required.
Administrative:
- Manage executives’ calendars, schedule meetings, and coordinate appointments.
- Prepare and process invoices, expense reports, and purchase orders.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle confidential information with discretion.
Office Management:
- Oversee office supplies and equipment, ensuring office environment is well maintained.
- Distribute mail, process expense reimbursement requests.
- Manage the flow of information and communications to the executive team to ensure incoming requests and inquiries are promptly addressed.
- Maintain task tracking of complaint-related and other outstanding issues to be completed by staff.
- Provide administrative backup support to the Events and Travel Coordinator as needed.
- All other duties as assigned.
- High School Diploma or equivalent required.
- Bachelor’s Degree or equivalent combination of education and experience preferred.
- 5+ years of related experience in administrative services.
- Knowledge of mortgage lending/servicing industry preferred.
- Knowledge of methods and practices of a business office.
- Excellent written and verbal communication skills.
- Excellent interpersonal and relationship-building skills.
- Excellent time management and organizational skills to effectively meet deadlines.
- Excellent skills in Microsoft Office (e.g., Word, PowerPoint, etc.).
- Ability to compose complete and accurate documents in proper business form.
- Ability to multitask in a fast-paced environment.
- Ability to work and communicate with all levels of the organization.

Working conditions are normal for an office environment.
