Overview: We are seeking a mature and dedicated Executive Assistant for the CEO. This role requires flexibility, excellent organizational skills, and the ability to work extended hours when needed. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks efficiently.
YOU WILL BE EXPECTED TO TAKE AND PASS THE 620 EXAM WITHIN 7 DAYS- PAID TRAINING (TRAINING PAY MAY BE LESSOR TO THE REGULAR PAY AMOUNT), AND THE COMPANY WILL PAY FOR THE COURSE.
You will be responsible for your background check and bound.
Qualifications:
- 2+ years of experience as an Executive Assistant, Office Manager, or Administrative Manager
- Worked for a CEO before
- Excellent communication skills
- Excellent writing skills
- Strong organizational and time management skills
- Exceptional attention to detail
- Advanced computer skills, including Microsoft Office, Teams, and Zoom
- Ability to quickly learn new systems and procedures
- Strong analytical skills
- Adaptable and open to occasional evening and weekend work
- Must be able to work at the office in person
- Reliable

Key Responsibilities:
- Manage the CEO's calendar and coordinate appointments, meetings, and events
- Provide project/task progress updates in communication with department managers, employees, and other stakeholders
- Oversee general office operations and manage filing systems and office supplies efficiently
- Coordinate with IT to ensure systems are secure, upgraded, and functioning properly
- Work with Human Resources on employee recruitment, interviews, onboarding, disciplinary actions, terminations, and company policy updates
- Arrange travel, including flights, hotels, and car rentals
- Provide leadership and coaching to team members under the Office Manager’s supervisory responsibilities
- Uphold and promote the company’s motivating and empowering culture
- Collaborate on event planning and execution
- Work with the marketing department on events and other marketing projects
- Be available for company response to disaster-affected areas
- Associate Degree - will have to provide a copy or the transcript
Physical Requirements:
- Ability to sit for extended periods
- Ability to work on a computer for prolonged periods
- Occasional lifting of up to 20 pounds
- Ability to travel to various locations as needed
