Position Summary:
The Executive Assistant will provide comprehensive administrative support to the executive team. This role requires a high level of professional, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Provide coverage on phones, manage executive calendars, schedule meetings and appointments, and coordinate meals and event planning.
- Collaborate with our travel department to organize and manage complex travel itineraries, including flights accommodations and transportation.
- Handle check requests and purchase orders, and file expense reports.
- Arrange and coordinate executive interviews, acting as a liaison with candidates and internal stakeholders.
- Service as a point of contact between executives and various departments, including Communications, Physical Plant, and IT for phones computers and other equipment needed.
- Address and fulfill various ad hoc requests from the executive team as needed.
- Maintain and organize electronic filings for easy access and retrieval.
- Work with Security to ensure smooth and secure visits for guests and visitors.
Qualifications
- Bachelor’s degree or equivalent work experience.
- Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Micro office Suite (Word, Excel, PowerPoint, Outlook).
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently and as part of a team.
- Detailed oriented with a proactive approach to problem solving.
