Job Title: Executive Assistant
Location: Philadelphia, PA
Salary Range: $50,000 - $60,000 per year
Schedule: Full-Time, 8:00 am-5:00 pm
SUMMARY
Our Client is a dedicated provider of residential habilitation services for individuals with Intellectual and Developmental Disabilities (IDD). They are committed to empowering their clients by offering compassionate care and support. Additionally, Our Client operates a home care branch, delivering personalized in-home care to individuals in need of assistance. Their mission is to enhance the quality of life for those they serve by fostering independence, dignity, and respect.
Reporting directly to the CEO and COO performs a wide range of complex and confidential administrative and clerical support duties. The individual will work in conjunction with all administrative staff, ensuring the sufficient delivery and completion of all tasks assigned as needed per administrative staff in their departments. The individual will have the ability to multitask, work in a fast-paced environment, and be flexible. Requires excellent communication and interpersonal skills, ability to use the full Microsoft Office suite and social media platforms, and ability to provide information and service to a wide range of internal and external contacts.
RESPONSIBILITIES
Administrative Support:
Manage the CEO & COO’s calendar, including scheduling meetings, appointments, and travels.
Coordinate and prepare materials for meetings, including agendas, presentations, and minutes.
Screen and prioritize emails, phone calls, and other communications on behalf of the COO.
Handle confidential information with discretion.
Operational Support:
Assist the COO in the day-to-day management of operations across the company.
Support the COO in tracking key performance indicators (KPIs) and preparing reports.
Coordinate with department heads and managers to ensure alignment with company goals and initiatives.
Assist in project management, including planning, execution, and follow-up on critical tasks.
Communication & Liaison:
Serve as a liaison between the COO and internal/external stakeholders, including employees, clients, and partners.
Draft, proofread, and edit correspondence, reports, and presentations for the COO.
Facilitate communication across departments to ensure effective collaboration.
Event Coordination:
Plan and coordinate company events, meetings, and conferences as directed by the COO.
Arrange logistics for meetings, training sessions, and other company functions.
Special Projects:
Assist the COO with special projects as needed, including research, data analysis, and strategic planning.
Take the lead on specific initiatives as delegated by the COO.
REQUIREMENTS
Ability to organize a daily workload by priorities
Must be able to meet deadlines in a fast-paced quickly changing environment
A proactive approach to problem-solving with strong decision-making skills
High School Diploma
Strong written and verbal communication skills
Active Driver’s license
Ability to work independently and collaboratively in a fast-paced environment
Willingness to undergo a background check
