Overview:We are seeking a highly organized and proactive Executive Assistant with a minimum of 5 years of experience to support our senior executives and coordinate compliance activities. The ideal candidate will be a detail-oriented professional with exceptional communication skills and the ability to manage multiple tasks efficiently. This role requires a high level of discretion, as you will be handling sensitive and confidential information.
How you'll make an impact:- Provide high-level administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, compile data, and prepare reports for consideration and presentation by executives.
- Handle confidential information with discretion and maintain the highest level of confidentiality.
- Act as a liaison between executives and internal/external stakeholders, ensuring smooth communication and prompt resolution of inquiries.
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Manage and prioritize incoming emails, phone calls, and other communications.
- Assist in the preparation of executive reports, presentations, and other materials.
- Coordinate and manage special projects as assigned by executives.
Compliance Coordinator Responsibilities:
- Assist in the preparation and maintenance of compliance documentation and records.
- Monitor and track compliance deadlines and ensure timely submission of required documents.
- Support the compliance team in conducting internal audits and reviews to ensure adherence to company policies and regulatory requirements.
- Coordinate with various departments to gather necessary information for compliance reporting.
- Assist in the development and implementation of compliance training programs for employees.
- Stay updated on regulatory changes and communicate relevant information to the compliance team and senior executives.
- Help prepare compliance reports and presentations for internal and external stakeholders.
- Ensure that all compliance-related inquiries and issues are addressed promptly and accurately.
Required:
- High school diploma and 7 years related experience required.
- Proficiency in Microsoft application skills, including Word, Excel, and PowerPoint.
Highly Preferred:
- Minimum of 5 years of experience as an Executive Assistant or in a similar role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Strong problem-solving skills and attention to detail.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Experience in compliance support or a related field is a plus.
