Seeking organized, smart, on point, quick learner, who meets deadlines ahead of time. Will perform duties for the Executive team, who oversee and control entire company portfolio.
Responsibilities
- Work with the executives to maintain calendars which would include scheduling meetings and appointments (both personal & business), book meeting space and handle meal requirements.
- Track permit expirations and other deadlines, timelines as necessary.
- Process in-coming mail; open, stamp, sort for priorities. Distribute and/or handle items not requiring supervisor's attention.
- Assist in maintaining filing systems.
- Work on special assignments as needed. Such assignments may require research, development and/or interpretation of data.
- Supports the team with billing and backup as needed.
- Self-motivated, adapts to change with a positive attitude, a quick learner, and has the confidence to ask for help.
- Exceptional communication skills, both verbally and written, complete all tasks in a timely manner, understand how to prioritize, and be a problem solver.
- Backup to phones, visitors, daily mail and deliveries.
- Ability to work independently with minimal direction.
- Ability to plan, prioritize, and support multiple assignments and projects simultaneously.
- Hands-on approach and taking initiative in resolving issues and concerns.
Qualifications
- 5 years business/secretarial school or equivalent combinations of training & experience.
- Experience in corporate legal department or similar professional setting.
- Proficient in use of Microsoft software (Outlook, PowerPoint, Excel, SharePoint, Word) and other programs, as well as use of the internet.
- Microsoft Project experience preferred.
- Knowledge of the construction industry preferred.
- Proficient or willing to learn new technology (both hardware and software).
- Strong organizational skills and attention to detail.
- Aptitude with computer software including Microsoft products.
- Ability to maintain confidentiality is critical.
- Ability to prioritize work activity and work independently.
- Self-motivated, adapts to change with a positive attitude, a quick learner, and has the confidence to ask for help.
- Exceptional communication skills, both verbally and written.
