The community you’ll be caring for: AdventHealth Waterman – 1000 Waterman Way. Tavares, FL 32778
The role you’ll contribute: First impression responder to guests, visitors, physicians, staff and others as they enter the Foundation Office of Florida Hospital Waterman. Primarily supports the President and Manager with their administrative requests, assisting other team members as needed. Ensures the Foundation Office functions in an effective and efficient manner as related to the duties and responsibilities listed below.

· Functions in an independent, proactive manner for all responsibilities
· Handles all routine work and special requests of President and Manager
· Compose letters, memos, correspondence and any other documents as requested by President and Manager
· Coordinate Foundation Board and Committee meetings to include room scheduling, food, audiovisual, agendas, correspondence, meeting minutes, attendance and follow up
· Coordinate calendars for Foundation President and Manager utilizing MS Outlook. Proactively identify and resolve scheduling conflicts
· Provide support for Auxiliary and Gift Shop as needed
· Orders and receives office supplies
· Responsible for printed materials inventory and re-supply
· Maintain central filing system for administrative, accounting/audit, Board, committees, donors, planned giving and development activities
· Maintain Board and Committee materials, contacts/bios and correspondence
· Coordinate birthday/holiday/sympathy/special occasion card mailings
· Coordinate bi-weekly accounts payable processing with office accountant
· Review daily hospital admission and discharge reports and local newspapers for obituaries, donor information, hospital/foundation related news and articles. Respond to donor related activities as appropriate with cards, flowers, visits and follow up
· Open and close office, answer telephones, open/distribute incoming mail
· Take the initiative to respond to email/incoming mail without direction when possible
· Schedule and track office and equipment maintenance as needed
· Manage finances for the Florida Hospital Waterman Annual Foreign Mission Project
· Coordinate office volunteers as needed
· Process and track Unclaimed Funds filing 2x a year
· Collection and distribution of month-end bank statements
· Maintain AHS Employee Portal with bi-weekly updates and bi-annual maintenance
· Program coordination for Annual Employee Campaign to include printing and department organization of pledge cards, data entry, statistics and kick-off event
· Serve as Auxiliary Liaison to include:
· Weekly processing and auditing of Time and Attendance
· Complete system access requests through MIS as needed
· Complete data entry for all Aux. new hires and Terminations
· Coordinate and ensure completion of Annual Auxilian Evaluations
· Coordinate and ensure completion of Annual Auxilian Criminal background checks
· Support Teen Volunteer Program
· Maintain donated hour database
· Organizing required annual education sessions (3 per year)
· Back up support for Gift Shop as needed
· Support for membership database
· Provide orientation packets to HR for new Auxilians
· Quarterly attestation of Auxilians
· Run errands as assigned.
Qualifications
The expertise and experiences you’ll need to succeed:
REQUIRED:
· Current driver’s license
· High School Graduate
· Two years previous Executive Assistant experience required
· Proficient in English language
· Excellent interpersonal and communication skills.
· Pleasant telephone manner
· Must be able to type 60 wpm with accuracy
· Strong organization skills
· Proficient in Microsoft Office
· Capable of following direction and working independently
PREFERRED _:_
· Associate’s degree preferred
· Maintain Notary Public
