The role
Reporting to the COO, Vantage Group, the Executive Assistant will provide administrative support to the C-Suite in New York. This role will work collaboratively with the team to filter and attend to day-to-day functions so the executive can focus on high-level leadership and strategy development and implementation. This role serves as support for the COO and the other executive team members when in the New York office, connecting organizations, projects, and critical business information to the COO and executive team, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the priorities of the project.
Responsibilities:Key responsibilities
- Complete a broad variety of administrative tasks that facilitate the COO and Executive team’s ability to lead the organization, including:
- designing and producing complex documents, reports and presentations;
- collecting and preparing information for meetings with outside parties;
- composing correspondence; and
- completing expense reports
- Act as the point of contact among executives and stakeholders including the Steering Committee/Audit and Finance Committee/Human Resource Committee/Board of Directors.
- Manage information flow in a timely and accurate manner to ensure COO and Executive team are well informed of upcoming commitments and responsibilities.
- Oversee, coordinate and produce Steering Committee/Audit and Finance Committee/Human Resource Committee/Board related documents, including:
- Support consolidation of documents into a package of materials that is uploaded and distributed to Board of Directors and Executive team members; and
- Production and maintenance of the Board calendar
- Manage executives’ calendars and set up meetings.
- Make travel and accommodation arrangements as needed.
- Act as an office manager by keeping up with office supply inventory, including updating office efficiency by maintaining office systems, layouts, and equipment procurement.
- Act as point person for Executive Department accounts payable, equipment maintenance, and IT.
- Partner with Human Resources on new employee onboarding and orientation.
- Supply backup support to the Vantage CEO EA and Administrative Coordinator as required.
- Take minutes during COO meetings.
- Screen and direct phone calls and distribute correspondence.
- Organize and maintain the office filing system.
- Special projects commensurate with the role, including event planning as needed.
- Ensure individuals have appropriate security clearances.
- Act as a gate-keeper for the management team.
- Other duties and responsibilities commensurate with the position may be assigned.
About you
- Excellent verbal and written communication skills required; must be comfortable connecting and communicating with individuals at all levels of an organization.
- Ability to navigate ambiguous situations, bring options and provide recommendations.
- Strong listening and comprehension skills, as well as the ability to develop and clearly articulate a perspective.
- Highly developed sense of accountability and follow-through with an ability to effectively prioritize multiple tasks, projects, and goals.
- Strong organizational and prioritization skills needed to delivery timely on requested projects
- Excellent written and verbal communications.
- High level of attention to detail.
- Organization and planning skills crucial for multi-tasking while prioritizing and executing tasks.
- Highly skilled in using MS Excel spreadsheets.
- Ability to work independently with little or no supervision but be a team player.
