We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to four attorneys in a fast-paced legal environment. The ideal candidate will act as a gatekeeper, manage complex schedules, oversee email communications, and ensure effective time management. This role requires exceptional organizational skills, attention to detail, and the ability to prioritize tasks efficiently.
Key Responsibilities:
- Gatekeeper: Serve as the primary point of contact for internal and external communications, filtering and directing inquiries to the appropriate attorney or department.
- Schedule Management: Oversee and coordinate complex calendars, including scheduling meetings, court dates, and appointments. Ensure all time-sensitive tasks and deadlines are met.
- Email Review: Monitor and manage email correspondence for the attorneys, prioritizing messages, drafting responses, and ensuring timely follow-up on critical matters.
- Time Management: Assist in managing the attorneys' time by anticipating needs, preparing agendas, and providing reminders for meetings, deadlines, and key deliverables.
- Interaction Oversight: Act as a liaison between the attorneys and case managers, team members, and clients, ensuring clear communication and efficient collaboration.
- Document Preparation: Prepare, proofread, and edit legal documents, correspondence, and reports as needed.
- Travel Coordination: Arrange travel plans, accommodations, and itineraries for the attorneys as required.
- Meeting Coordination: Organize and prepare for meetings, including assembling materials, taking minutes, and following up on action items.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
- Project Support: Assist with special projects and other duties as assigned by the attorneys.
Qualifications:
- Proven experience as an executive assistant, preferably in a legal setting.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to manage multiple priorities in a fast-paced environment.
- High level of discretion and confidentiality.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Bachelor's degree or equivalent experience preferred.
