We are seeking a highly organized and proactive Executive Assistant to support the founder and CEO or our growing insurance brokerage firm, The Fidella Agency. The right candidate will manage a broad range of tasks that in turn will revolutionize the effectiveness of our CEO. The tasks include managing the CEO’s email inbox, which typically receives over 200 emails per day. With this, the EA will act as a gatekeeper, ensuring efficient workflow, timely responses, and effective coordination between the CEO and internal teams, as well as external stakeholders.

2. Accountability: Check in with CEO morning and evening about top priorities for the day and progress you’ve made, what’s still pending and what’s new that popped up Filter everything and aim to handle and solve 99% of issues and questions before sending it to CEO. Find out what’s bothering CEO or what’s not progressing, find WHOs or become the WHO to solve.
3. Communication Management: Serve as a liaison between the CEO and other staff, as well as external stakeholders. Facilitate smooth and efficient communication.
4. Legal Document Review: Conduct initial reviews of legal agreements, flagging any areas of concern or potential issues, and organizing them for further review by the CEO or legal team.
5. AI Utilization: Leverage AI technologies to streamline administrative processes and enhance productivity, where applicable.
6. Calendar Management: Oversee the CEO's calendar, schedule appointments, organize meetings, and ensure the CEO's time is efficiently utilized. Manage and protect my schedule, focusing on goals and Unique Ability activities. Proactively reach out to get appointments that help me reach goals we’ve discussed Schedule and confirm all personal and business appts. Utilize the Entrepreneurial Time System (from Strategic Coach) for my weekly calendar and review my “ideal week” planner often. Bucket time accordingly to allow for mindset of CEO to be focused in right space.
7. Travel Coordination: Arrange all aspects of business travel, including flight bookings, accommodations, local transportation, and itinerary planning.
8. Research: Conduct research on various topics as requested, providing comprehensive summaries to inform the CEO's decision‐making.
9. Project Management: Coordinate and oversee projects, ensuring they stay on track, within budget, and meet quality expectations.
10. General Administrative Duties: Perform other administrative tasks as needed, including but not limited to preparing reports, handling confidential information, and assisting with personal tasks based on the CEO's needs.
The Executive Assistant will be expected to handle these responsibilities with a high degree of professionalism, discretion, and adaptability, reflecting the dynamic nature of the role and the fast-paced environment of our organization.
