POSITION SUMMARY
The Executive Assistant is responsible for providing excellent Christ-like and advanced administrative support to the Chief Development Officer (CDO) and the VP of Marketing for CRISTA. Coordinate logistics for international travel for staff and guests. Provide exceptional customer service to CRISTA staff and donors. Support staff by strategizing, planning and executing all levels of meetings and events for the organization. Assist and perform event planning and duties focused on major annual fundraising occasions, corporate and promotional affairs and third-party events. Collaborate with leaders and help with corporate and board meetings taking place on and off the main campus. Help plan and coordinate capital campaigns.
ESSENTIAL FUNCTIONS

DUTIES
Administrative Management:
- Support the CDO and VP of Marking by scheduling internal and external appointments and meetings.
- Review and manage various forms of communication (i.e., phone calls, e-mails, mail and visitors), answering general donor questions and providing excellent customer service. Plan and coordinate assigned communication activities.
- Manage and prepare the CDO Office budget.
- Stay up to date on ministry objectives, making sure others are connected and educated.
- Write, proofread and edit correspondence, documents and presentations as needed.
- Plan and execute team events.
- Approve vacation days within the system.
- Order office supplies and maintain inventory.
- Manage the RA goals for the annual plan and provide updated progress reports to CDO.
- Perform various fundraising and marketing projects to support the CDO and VP.
- Coordinate and manage capital campaign timeline and events with an external vendor and the CDO.
- Retrieve Purchasing card (P-card) statements, receipt processing and input into Works.
- Maintain confidentiality and trust by keeping all information confidential.
Meeting Coordinator:
- Research and prepare quality support materials for meetings and events and assist in preparing board reports and presentations.
- Facilitate technology set-up for Zoom/Teams meetings and conference calls.
- Coordinate campaign committee meetings including board members.
- Follow up on action items from RA leadership meetings.
Event and Capital Campaign Support:
- Support the Director of Events with tasks before major events such as creating and distributing event materials (i.e., programs, place cards, signage).
- Assist with event registration processes.
- Provide support and guidance to volunteers during events.
- Coordinate event set-up and tear-down.
- Coordinate meetings with donors for feasibility study and capital campaign
- Support CDO and SD of Donor Relations in budget, reports and meetings related to the capital campaign
- Coordinate the board subcommittee for the capital campaign
Artist and Donor Coordinator:
- Acquire assets to concerts, such as banners, table coverings, support materials, signup packets
- Coordinate contracts for artists.
- Organize and create requested donor reports.
- Coordinate payment for promoters and artists.
- Work collaboratively with supervisors, coworkers and donors.
- Perform other duties as assigned in a manner that reflects well on CRISTA Ministries and is consistent with CRISTA’s Mission Statement.
Conduct that reflects well on CRISTA Ministries and aligns with its mission, vision, Statement of Faith and Christian Community Representative Commitment (CCC).

- Is a committed Christian who is dedicated to continued spiritual growth and development as evidenced through a growing personal walk with God (e.g. daily spiritual rhythms of prayer, fellowship, Bible study, etc).
- Prayerfully seeks God’s will in their own lives and in their ministry at CRISTA.
- Engages our ministry including staff and colleagues through prayer, participation in spiritual practices, leading devotionals and other spiritual practices.
- Affirms, aligns with and supports CRISTA’s Statement of Faith and Christian Community Representative Statement (CCC).
- Conducts themselves in a manner which reflects well on CRISTA Ministries and aligns with its mission, vision, Statement of Faith and Christian Community Representative Commitment (CCC).
- Demonstrates the values of a CRISTA leader.
EDUCATION
- Bachelor's degree from an accredited college or university recognized by the United States Department of Education or equivalent. Relevant work experience may be substituted for education on a year-for-year basis.
EXPERIENCE
- 3 - 5 years recent experience directly supporting executives.
SOFTWARE / EQUIPMENT KNOWLEDGE
- Proficiency with Microsoft Office Suite and proficiency with video conferencing tools.

PREFERRED QUALIFICATIONS
EDUCATION
- Bachelor's degree from an accredited college or university recognized by the United States Department of Education or equivalent.
EXPERIENCE
- Knowledge of basic marketing or fundraising is a plus.
