Position Overview:
We are seeking a highly organized and proactive Executive Assistant to support our Senior Vice President & General Counsel (the “General Counsel”) at Altec, Inc., a multi-plant manufacturing company headquartered in Birmingham, Alabama. The ideal candidate will possess exceptional administrative skills, a keen understanding of legal terminology and processes, and the ability to manage multiple priorities efficiently. This role is critical in ensuring the smooth operation of the legal department and requires discretion, professionalism, and strong communication abilities. The position would be full time in office.
Key Responsibilities:
- Provide high-level administrative support to the General Counsel, including word processing, meeting preparation, calendar management, and travel coordination.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and adherence to company standards.
- Manage the General Counsel’s schedule, prioritizing appointments and ensuring efficient time management.
- Coordinate meetings, including agenda preparation, logistics, and follow-up on action items.
- Maintain legal documents, corporate minutes, insurance documents, files, and other records in an organized manner, ensuring confidentiality and compliance with regulations.
- Assist in the preparation and tracking of budgets and expenses for the legal department.
- Conduct research on legal matters and assist in responding to and managing legal proceedings.
- Serve as a liaison between the legal department and other departments, fostering collaboration and communication.
- Assist in compliance initiatives, policy development, and training sessions as needed.
- Support special projects and initiatives within the legal department as assigned.
- Work closely with the executive management team.
Qualifications:
- Bachelor’s degree in Business Administration, Legal Studies, or a related field preferred.
- 5+ years of experience as an executive assistant, preferably in a legal or corporate environment.
- Strong understanding of legal terminology and processes is preferred.
- Exceptional organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and exercise discretion in sensitive matters.
- Strong problem-solving skills and the ability to work independently.
- Flexibility and adaptability to changing priorities and deadlines.
