You are one who is responsible for providing comprehensive support to the CEO and Board of Directors and managing the logistics for the Office of the President. Position requires the ability to anticipate needs, think critically, and proactively identify solutions to problems with a high level of professionalism and confidentiality. You can operate with a high degree of autonomy in a constantly changing environment and will be expected to perform duties at inconsistent hours and with limited direction.

The position is hybrid, office location in Round Rock, Texas.
Essential Duties and Responsibilities:
The position incumbent is expected to perform the following essential duties and responsibilities of the position with reasonable accommodation.
- Provide executive-level support to the President / CEO with a high degree of initiative, judgment, and discretion.
- Facilitate efficient utilization of the President / CEO's complex schedule, handle frequent reprioritizations, often requiring independent decision making.
- Schedule President / CEO appointments and meetings, coordinate resources, prepare reference and back-up materials for meetings.
- Coordinate travel arrangements, develop itineraries, book flights, hotels, and transportation, reserve meeting facilities, and coordinate other arrangements, as necessary.
- Prepare expense statements, travel analysis, and reconciliations on behalf of the President / CEO.
- Manage the scheduling, preparation, logistics, and follow up for engagements, events, and meetings associated with Trellis strategic initiatives.
- Proactively identify and exercise independent analysis and judgment to prioritize situations requiring the President / CEO's attention.
- Track the President / CEO's project deadlines and needs, while simultaneously meeting own deliverables.
- Provide document management support through composing and editing minutes, deliverables, correspondence, memoranda, contracts, and proposals. Manage completion from draft to final version.
- Establish and maintain collaborative relationships internally and externally, including but not limited to the Trellis Board of Directors, Executive Leadership, and Senior Management.
- Provide support for Board meeting logistics: schedule Board meetings, negotiate hotel and restaurant accommodations, arrange catering, and process expense reports for Board members who travel to attend Board meetings.
- Facilitate and manage the process of ensuring board and committee materials are complete, accurate, and distributed to Board members in a timely manner.
- Monitors budget tracking and expenditures. Enters requisitions for purchases, contracts, and payment processing. Contract and procure goods and services, collaborating with procurement, finance, and legal.
- Supports records management process.
- Responds to internal and external requests and triages priorities.
- Supports internal efforts related to new initiatives and corporate goals.
- Supports other functions and responsibilities of the department.
- Interacts with all levels of management, as necessary.
- Provide event management support and coordinate executive leadership meetings and retreats.
- Must be available to work flexible hour.
- Participate in training and other learning opportunities to ensure compliance and expand knowledge of company, position, and process.

Education
Required:
- Bachelor's Degree in business or related discipline. Experience may be substituted for the degree requirement on a year for year basis.
Experience
Required:
- Two (2) or more years' experience working with and supporting executive leadership.
- Two (2) or more years' experience interacting with board members and supporting the needs of the Board.
- Project Management experience and/or certification.
- Experience working with a not-for-profit organization.
- Experience with customer relationship (CRM) database systems such as Slate, Ellucian, Salesforce, or a similar system.
- Experience with corporate communications.
Physical and Mental Demands:
- Position is primarily sedentary. Must be able to sit in a stationary position for long periods of time; Occasionally must move about inside the office.
- Must be able to provide presentations and services to clients in a variety of business and work settings.
- Repetitive motion. Regularly operates a computer, phone, and general office equipment. Regularly uses hands/fingers to handle, feel, or grasp; reaches or extends arm(s) in any direction.
- Hearing and speaking. Regularly talks with other employees and on the phone, virtually, or in person with clients. Regularly uses hearing to listen and respond to employees and clients.
- Visual acuity. Regularly must have close visual acuity to view and enter information into computer and software systems, analyze data, develop presentations and reports, and other materials.
- Mental focus. Requires worker to maintain focus and exchange detailed and accurate information through oral and written communication.
Work Environment:
- Work may be conducted remotely or in an open office with a surrounding small cubicle environment.
- Office work environment is climate controlled with no substantial exposure to adverse environmental conditions.
- Travel required up to 10% of the time.
