Job Description
TeamBuilders Employment & Business Solutions is hiring for an experienced Executive Assistant, Traveler Relations to join a growing travel agency in Fresno, CA.
The ideal candidate for the Executive Assistant, Traveler Relations will come with at least 5 years' professional experience as an Executive/Administrative Assistant within a fast-paced office environment, preferably within the hospitality or travel industry however, previous industry experience is not required as the company will provide travel industry training.
The Executive Assistant, Traveler Relations position will provide direct support to the Director of Traveler Relations and the Traveler Relations team. The duties will consist of staff training, managing and conducting meetings, assisting with phone support and resolving passenger issues. You will facilitate departmental operations seamlessly, improve process efficiency, document procedures and manage traveler and supplier communications. Additionally, you will assist in overseeing Reservation Coordination staff, manage workload distribution, maintain electronic filing systems and stay updated on industry trends to help create
memorable travel experiences for travelers.
The Executive Assistant, Traveler Relations position is being offered on a Direct Hire, onsite, full-time basis Monday through Friday between the hours of 8:30 AM and 5:00 PM. Some overtime and travel may be required as necessary. The starting pay range is $58,240.00 to $62,400.00, depending on experience. The Daily Responsibilities of the Executive Assistant, Traveler Relations to Include:
- Provide executive support to the Director of Traveler Relations & the Traveler Relations team
- Participate in staff communications, supervision and training
- Provide research and development of travel products, reservation software and keep updated on travel industry updates
- Conduct Traveler Relations team meetings
- Provide back up support with answering phones and coordinating travel reservations
- Facilitate seamless departmental operations
- Documentation of processes and procedures
- Research, coordinate, prepare and review all aspects of reservations and traveler information, documents and provide reporting
- Develop and manage customized spreadsheets & reports
- Collaborate with vendors and suppliers including providing traveler reports
- Assist with audits, requests manifests and reports from suppliers & vendors
- Collaborate with the Supplier Services Department to ensure inventory accuracy and maintenance
- Prepare billing and documentation for travelers
- Request travel documents from airlines, hotels, cruise lines & transportation companies
- Additional related duties as required
Qualifications
The Required Skills & Experience of the Executive Assistant, Traveler Relations:
- Minimum of 5 years' experience as an Executive/Administrative Assistant within a fast-paced, professional office environment
- Travel/Hospitality industry experience is not required, but is preferred (company will provide travel industry training)
- Professional communication skills (verbal, written and interpersonal)
- Strong leadership skills with the ability to foster a team-oriented environment
- Impeccable organizational, detail orientation, time management, prioritization, project management, problem solving and critical thinking skills
- Ability to successfully manage multiple duties and tasks simultaneously within a deadline heavy environment
- Intermediate to Advanced MS Office skills (Word, Excel, Outlook, PowerPoint) in addition to Google Documents
