Position Overview:
The Executive Assistant is a critical partner to KIPP DC's executive leadership, providing the indispensable support necessary to drive a high-impact organization. This proactive and resourceful individual will manage critical administrative functions, act as a bridge between the CEO and President and the broader executive team, and ensure seamless operations. By expertly handling a wide range of responsibilities, the Executive Assistant will enable the CEO and President to focus their time and energy on strategic priorities that directly improve outcomes for students. This exempt role reports to the Director of Executive Operations & Strategic Priorities.
Key Responsibilities:
- Proactively support the CEO and President in advancing KIPP DC's mission and impact by anticipating their needs, creatively problem-solving, and connecting the dots between teams and projects to ensure seamless execution.
- Optimize their time by expertly managing their schedules, ensuring thorough meeting preparation, facilitating timely correspondence, and proactively providing relevant information and context for each engagement.
- Provide comprehensive administrative support, including coordinating work travel, taking notes and meeting minutes, drafting and editing presentations, correspondence, and reports, screening and organizing incoming emails, maintaining the executive office, processing expenses, and coordinating meals.
- Serve as a bridge between the CEO and President and the broader executive team, ensuring their availability to support executive team members' work.
- Provide limited administrative assistance to the executive team, including scanning expense receipts, obtaining necessary approvals, booking work-related travel, scheduling meetings, coordinating room reservations for large meetings, and providing event support for meetings involving the CEO and President.
- Manage logistics and record-keeping for board meetings, board committee meetings, and board retreats. Provide as-needed support to board members.
- Cultivate strong relationships with key stakeholders, including the executive team, HDQ leaders, Board members, and the entire KIPP DC team and family to facilitate effective communication and ensure the CEO and President are well-prepared and supported in their interactions.
- Provide planning and day-of support for on- and off-site events, off-site meetings and retreats, and HQ and regional celebrations.
Requirements and Qualifications:
- Bachelor’s degree OR 5 years of experience as an executive assistant
- Proficiency in a major office productivity suite (e.g., Google Workspace, Microsoft Office) with expertise in core applications such as email, calendar, word processing, spreadsheets, and presentation software
- Unquestioned integrity and commitment to KIPP DC’s mission and to advancing its anti-racist ambition through work with staff, students, alumni, and families
- Excellent written and verbal communication skills
- Outstanding organizational skills and an extraordinary attention to detail
- Ability to maintain confidentiality and discretion
- Team player with a positive and collaborative attitude, with the ability to build rapport with diverse stakeholders quickly
- Ability to manage multiple deadlines, anticipate needs, and proactively organize tasks for maximum efficiency.
- A keen eye for identifying potential challenges and proactively developing solutions to ensure smooth operations
- Willingness to do whatever it takes and belief that no job is too big or too small
- Self-starter with ability to take initiative and thrive in a fast-paced environment
Preferred Qualifications:
- Experience with project or task management software
Physical Requirements:
- Ability to lift 50 pounds
- Flexibility to work outside normal business hours or weekends for KIPP DC events
- Ability to travel across KIPP DC schools, headquarters, and off-site meeting and event locations
Compensation and Benefits:
KIPP DC offers an extremely competitive compensation and benefits package:
- The anticipated starting salary for this position is $50,312-$57,765. At KIPP DC we strive for clarity, equity, and to be highly competitive. When determining salaries we look at benchmarks in the education and non-profit sector.
- KIPP DC offers a robust benefits package including medical, dental, and vision insurances; various voluntary benefits; and employer paid benefits such as short term disability, long term disability, life insurance, and a membership to One Medical.
- KIPP DC also offers a 403(b) retirement account with a 3% employer contribution and a 3% match with vesting after three years.
- Currently, individuals in this role have up to 15 paid time off days, up to 10 paid sick days, and 12 paid holidays. This is subject to change and your exact schedule will be shared in your offer letter.
- As a headquarters team that is focused on being responsive to our schools and meeting the needs of our students and families, we approach our work in a way that reflects these priorities. Schools operate in person and our students and families rely on us for in-person support which requires this position to be fully on-site. This role is currently required to be on-site or in schools during regular work hours.
