Position Summary:

We are seeking an Executive Assistant to provide high-level administrative support to the President and the Leadership Team. The ideal candidate will be organized, detail-oriented and able to handle a variety of tasks efficiently while playing a crucial role in supporting our day-to-day operations. This position operates as a hybrid with three days in office and two days remote from our Westwood, MA site.

: President, Material Processing Technologies

Essential Functions:

Position requirements include, but are not limited to: + Manage executives’ calendars, including scheduling meetings, appointments, team gatherings to ensure optimal time management. + May be required to attend meetings and take comprehensive notes and issue clear actions items. Follow up on these items to ensure timely completion. + Provide general administrative support, including handling correspondence, managing documents (both paper and electronic files), (eg., room bookings, scheduling, agenda and reports, compiling information and action items, minutes) + Organize and book travel arrangements across the globe. + Answer phone calls and respond to emails in a professional manner. + Assist with special projects as assigned. + Other duties, as assigned.

Qualifications:

Education and/or Experience:

+ High school diploma; associate degree preferred. + 10 years proven experience as an executive assistant or in a related role

Language Skills:

+ English

Computer Skills:

+ Advanced in Microsoft Office Suite (Word, Excel, PowerPoint) + Proficiency with Zoom and Teams

Other Qualifications:

+ Strong organizational and time-management skills + Excellent verbal and written communication abilities to liaise with internal staff, third parties and others to obtain and coordinate information and related processes. + Ability to participate as an effective team members + Ability to maintain confidentiality and discretion regarding sensitive information. + Ability to work independently + Ability to be flexible and to adapt to changes in priority or direction.
