Job DescriptionAs a valued colleague on our Legal team, you will provide administrative and logistical support to the General Counsel / Corporate Secretary by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, planning and executing on meetings, making travel arrangements, and performing other administrative tasks. You will serve as a key member of the General Counsel’s Front Office, working closely with the Chief of Staff, drawing upon your experience, judgment, and attention to detail to ensure efficient and effective operations.
This is a non-exempt (hourly) position.
THE IMPACT YOU WILL MAKE
The Executive Assistant – Senior Associate role will offer you the flexibility to make each day your own, while working alongside people who care so that you can deliver on the following responsibilities:
- Perform highly complex administrative functions to support the work of the General Counsel, a Management Committee (MC) member.
- Manage General Counsel’s calendars, including prioritization and triage to maximize leader’s capacity.
- Perform a lead role in coordinating meetings and events with multiple members of senior management or other stakeholders.
- Events and meeting planning, including managing logistics and budgets.
- Interface with internal and external stakeholders, often as initial touchpoint.
- Gather data relevant to projects of a Management Committee member.
- Create administrative practices to ensure efficiency and consistency within the office.
- Coordinate travel and manage extensive and detailed expenses.
- Coordinate personal and outside Board engagements.
- Coordinate scheduling of external events and speaking engagements.
- Support Chief of Staff in managing General Counsel’s engagement and department-wide communications.
- Assist with research and problem solving.
- May support the consolidation of information and editing of communications and presentation requests.
- May perform projects or participate as a team member on projects.
THE EXPERIENCE YOU BRING TO THE TEAM
Minimum Required Experiences
- 2 years’ experience supporting senior executives in an administrative capacity
- Experience interacting and communicating with executive-level internal and external stakeholders; ability to build and sustain productive partnerships with a broad network of executive-level support teams and other colleagues
- Ability to deliver outstanding customer service and work in a highly collaborative environment
- Strong judgment regarding sharing and protecting confidential information
- A high degree of attention to detail
- Ability to smoothly deliver on and pivot between multiple demands
- A work style that consistently reflects a collegial, open, team mentality; as well as having well-balanced independence
- Strong ability to learn company-specific and department-specific policies, procedures, and software applications
- Excellent writing and proofing skills
- Strong Microsoft Outlook skills are required
Desired Experiences
- Bachelor’s degree or equivalent
- 6+ years of experience supporting senior executives in an administrative capacity
- Familiarity with Microsoft Office applications such as Word, Excel, One Note, PowerPoint, and Teams
- Interest in or experience with social media, such as LinkedIn
