PURPOSE STATEMENT:
Acadia Healthcare is seeking an experienced, full-time Executive Coordinator to work in a fast-paced, high-growth environment. This role will be based in our Franklin, TN office and provide support to activities involving members of The Executive Leadership Team. This person will report directly to the Program Manager, Office of the CEO and offers opportunity for professional development and career advancement.
Provides broad administrative support for the Office of the CEO and Executive Leadership Team. In addition to general administrative duties (expense reports, travel, and scheduling), performs duties such as meeting preparation/coordination, event and conference planning, administration of the company suite at Bridgestone Arena, and working on special projects. Independent judgment is required to plan, prioritize and organize diversified workload. A high degree of confidentiality is required.
Responsibilities:
ESSENTIAL FUNCTIONS:
- Executive Coordinator provides the highest level of effective and efficient support to senior leaders.
- High level of attention to detail, excellent organizational skills and the ability to effectively collaborate with senior leaders and peers.
- Heightened sense of urgency and ability to prioritize needs of multiple stakeholders.
- Contribution to the Executive Support Team, including but not limited to providing backup coverage.
- Assistance with all aspects of meeting preparation: scheduling, materials, and catering.
- Administration of Bridgestone suite: Communicates, organizes, tracks, and administers monthly employee awards of Bridgestone suite tickets for events. Attention to detail is a must.
- Process, track and reconcile a high volume of travel and expense reports.
- Provide in-office support 4 days per week. This is an in-office position.
- Maintain schedules and calendars, as assigned.
- May work with the Marketing team and external vendors to oversee large-scale initiatives and industry events.
OTHER FUNCTIONS:
- Performs other duties as assigned.
STANDARD EXPECTATIONS:
- Bachelor’s degree preferred
- Professional tact and ability to maintain confidentiality with strong communication skills
- Knowledge of Microsoft programs is necessary, experience with Concur a plus
- Must be detail oriented
- Strong organizational, problem solving, and multitasking skills
- Develops constructive and cooperative working relationships with others and maintains them over time.
- Maintains regular and predictable attendance.
EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:
- High school diploma or equivalent; prefer some college or technical school coursework.
- Minimum 3 years of job-related experience; preferably as part of an Executive team.
- Advanced computer skills including Microsoft Office; especially Word, Excel, and PowerPoint.
- Ability to work professionally with sensitive, proprietary data & information while maintaining confidentiality.
- Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external.
- Exercises sound judgment in responding to inquiries; understands when to route inquiries to next level.
- Self-motivated with strong organizational skills and superior attention to detail.
- Must be able to manage multiple tasks/projects simultaneously within inflexible time frames. Ability to adapt to frequent priority changes.
- Capable of working within established policies, procedures and practices prescribed by the organization.
- English sufficient to provide and receive instructions/directions.
