The Executive Manager to the Superintendent serves as a vital leadership role, acting as the primary liaison between the Superintendent, the Board of Education, and community members/partners within the school district. This multifaceted position efficiently manages the Superintendent's office and schedule, coordinates high-level administrative functions, and facilitates effective communication across all levels of the organization. Key responsibilities include coordinating important district events and projects, serving as the staff liaison to the Board of Education, creating and editing significant district publications, handling sensitive communications and information requests, providing administrative support for district-wide initiatives, and acting as a primary point of contact for staff, students, parents, and the public. The Executive Manager plays a significant role in ensuring smooth operations, maintaining confidentiality, and supporting the district's overall mission and strategic goals, requiring exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced educational environment.
Essential Job Functions:- Manage and maintain the Superintendent’s schedule, engagements, appointments etc.
- Works with the Special Assistant to the Superintendent in planning and executing meetings, including travel and housing arrangements, preparation of agendas and briefing documents, collection and distribution of resolutions and supporting materials, posting materials to the website, updating directories and website; and otherwise helping to ensure successful meetings and communication on behalf of the Superintendent.
- Manage projects and events as necessary, such as Monthly Central Office Huddles, Leadership Retreats, District’s Monthly Newsletter, State of the District, Strategic Plan, etc.
- Staff liaison to the Board of Education, preparing agendas and minutes for Board and committee meetings, meeting posting requirements, arranging necessary materials, equipment, and spaces needed for meetings
- Preparation/ Coordination of PowerPoint presentations for various meetings as needed by the Superintendent.
- Conduct research, compile data, and prepare papers for consideration and presentation by administration, committees, and/or the Board of Education for various matters including grievances, contract negotiations, discipline, etc.
- Using the District’s messaging platform, send time-sensitive messages on behalf of the district, including school cancellations, delays and early dismissals
- Manage all office functions for the Superintendent’s office, including records, budgets, personnel issues, form/survey creation, ordering, basic bookkeeping, reports, information retrieval, etc.
- Handle requests from parents/families by phone and in person with tact and diplomacy, and follow up as needed until a resolution is reached
- Greet visitors and determine whether they should be given access to specific individuals.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution; handle routine correspondence independently
- Serve as contact and reference source for staff, students, parents and the public
- Draft communications for dissemination to students, staff, and families
- Work with outside agencies as necessary in furtherance of the district’s initiatives
- Maintain respect at all times for confidential information
- Attend meetings and events as needed
- Maintain office files, databases, and websites.
Educational Background:
Graduation from an accredited college or university with a Bachelor's Degree in Business or Education, or a related area, or equivalent, for a total education/experience of 4 years.

Degree Equivalency Formula:
Bachelor’s Degree= 4 years plus required years of experience.
Master’s Degree= 2 years plus required years of experience. Where Master’s degrees are required, years for Bachelor’s degrees must be included.
