Executive Personal Assistant to President and CFO, Family Office Investment Firm, Austin, Texas

The President and CFO of a multi-generational family office/ investment firm is looking for an Executive Personal Assistant to handle most of the administrative and operational aspects of the office as well as support the family on many personal matters large and small. This is a very exciting opportunity for someone who is business savvy (has a basic understanding of accounting principles), is pro-active, and a true problem-solver who can juggle competing priorities and wear many hats. The ideal candidate has at least 15 years of experience as an Executive Assistant, preferably in the finance space.
About the Job:
¨Support the President and CFO with all day-to-day matters including organizing and scheduling meetings and sending reminders as well as making necessary last- minute changes, understanding priorities
¨Create and daily upkeep of different home calendars; scheduling personal appointments
¨Organize and manage domestic/international travel arrangements for the President and CFO as well as family members
¨Prepare general correspondence and emails
¨Professionally handle requests from business contacts, maintaining confidentiality, diplomacy and awareness of the overall goals and relationships
¨Assemble and circulate legal documents for internal management, outside investment managers, lawyers, CPA’s
¨Research and guide execution of ad hoc projects
¨Handle expenses via Excel
¨Accounting: AR/AP, processing checks; knowledge of QuickBooks a PLUS
¨General office tasks, mail, Fed Ex shipping, ordering supplies
¨Plan, manage and organize small events and parties (dinners fundraisers)
¨Ad hoc projects; run errands
¨Some travel required
¨Off hour availability via cell

About You:
¨A minimum of 15 years of experience as an Executive Assistant supporting high level c-suite executives, preferably in the finance space
¨Bachelor’s Degree; Degree in Accounting or Finance highly desired
¨Excellent Microsoft Office Suite skills; QuickBooks a PLUS
¨Very detail oriented with the ability to change gears quickly - a true multi-tasker and problem solver who can anticipate needs
¨High level of integrity and discretion in handling all confidential information; high emotional and intellectual intelligence
¨Excellent written and verbal communication skills
¨A true team player with a “no job too small” attitude
