In this role you will:
- Manage and maintain calendars, including scheduling meetings, appointments, and travel arrangements
- Handle confidential and sensitive information with discretion and professionalism
- Prepare and edit correspondence, presentations, and reports
- Answer and manage phone calls, emails, and other forms of communication on behalf of the executive
- Manage home offices in NJ, NY and FL; property managers, vendors, designers, contractors and staff
- Coordinate and arrange business meetings, conferences, and events
- Manage travel logistics, including booking flights, hotels, and transportation
- Act as a liaison between the executive and internal/external stakeholders
- Maintain cost and tax-deductible items on spreadsheets
- Prepare expense reports, bills/payments, and manage credit cards and wire transfers
- Work closely with family office CEO and Accounting firm as necessary
- Act as a personal shopper
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to multitask and prioritize
- Exceptional attention to detail and accuracy
- Discretion and confidentiality when handling sensitive information
- Problem-solving skills and ability to take initiative
- Flexibility and adaptability to changing priorities
- Professional demeanor and strong interpersonal skills
- Bachelor's degree in Business Administration or related field preferred
- 2-5 years of experience as a Personal Assistant or in a similar role
Compensation / Pay Rate (Up to): $80,000.00 - $85,000.00
