We’re looking for a detail-oriented and proactive Executive Search Coordinator to support our Executive Search team. This role will manage administrative recruitment tasks for our clients and serve as the lead on data analytics and reporting within key systems (CRM, ATS, etc). This position is ideal for a resourceful and organized individual looking to make a meaningful impact within a dynamic HR firm. As an Executive Search Coordinator at OMNI, you will gain exposure to high-level executive search processes, learn from seasoned HR professionals, and have a direct impact on our clients’ success. This will be an onsite position in our Overland Park, KS office.
Responsibilities:- Recruitment Administration: Manage job postings, develop candidate presentations and interview guides, write position announcements, process background verifications, and support general recruitment efforts across the Executive Search practice.
- System Management: Maintain key systems, including HubSpot, Harvest, and iCIMS, to enhance data integrity, workflow efficiency, and real-time access to information.
- Quote and E-Signature Management: Oversee the quote and e-signature process within HubSpot, maintaining accurate, timely records to facilitate seamless transactions.
- Metrics and Reporting: Generate and analyze key metrics regarding revenue, success indicators, and hiring activities for internal performance analysis and client updates.
- Documentation and Compliance: Organize and secure recruitment records and reports within OMNI’s ATS, ensuring compliance and confidentiality.
- Content Development: Create PowerPoint presentations for client engagements, provide design input for social media posts, and support new business initiatives by assisting in the development of RFPs and other client materials while maintaining brand consistency.
- Process Improvement: Stay current with trends in recruitment technology to drive efficiency and optimize client service.
- Bachelor’s Degree in Human Resources, Business, or related field.
- 2+ years’ experience in recruitment or sales coordination, HR or a related administrative role.
- Demonstrated proficiency in CRM tools and Microsoft Office Suite, particularly PowerPoint.
- Analytical mindset with the ability to interpret data and adapt to evolving technology and recruitment trends.
- Capable of working independently and collaboratively within a small team environment.
- Excellent interpersonal and communication skills for coordinating with candidates, clients, and internal teams.
- Highly organized, detail-oriented, and professional, with a strong sense of initiative and the ability to handle multiple priorities in a fast-paced environment.
- Sound judgment, reliability, and discretion, especially when handling sensitive information.
- Basic design skills in Canva, PowerPoint, or other tools are a plus.
