Job Title: Executive Assistant
Full Time position - 40 hours per week
Schedule: Monday - Friday 8:30 am - 5:00 pm
Salary Range: $60,000 - $85,000 based on experience

The ideal candidate will have seven (7) o more years' experience in office support function including support to senior management.
Associates degree (two- year college or technical school)-Required.
Bachelor's degree- Preferred.
Leisure World of Maryland Corporation (LWMC), the property management company for Leisure World of Maryland, is a private, age-restricted community comprised of 29 community associations representing over 5,600 homes and extensive Trust operations, located in Silver Spring, Maryland is seeking an Executive Assistant.
ESSENTIAL FUNCTIONS & BASIC DUTIES:
- Provides administrative support to the General Manager and Vice President & COO of LWMC. Coordinates administrative support for the Leisure World Community Corporation (LWCC) and the LWCC Board of Directors.
- Prepares corporate documents for recording in government land records and with the Department of Assessment and Taxation.
- Directs the preparation of documentation necessary for business licenses, permits, and contracts for administrative services, equipment, and supplies.
- Develops and maintains Corporate Policy & Procedure Manual(s) for Administrative Department.
- Monitors State of Maryland and Montgomery County, Maryland, Property Tax Accounts.
- Under the direction of LWMC General Manager and Vice President & COO, coordinates the processing of legal actions brought against the Corporation.
- Responds to resident inquires in an informative manner by initiating pertinent action, if appropriate, or by making a referral to the proper department or individual when necessary.
- Maintains a working knowledge of the Bylaws and Articles of Incorporation of the LWCC; the legal structure and organization of the Leisure World community; Maryland condominium law; Trust agreements #1 and #2 and Community Facilities Agreement; the PRC Zoning Ordinance; the Sunshine Act; Maryland HOA Act and
- Maryland Cooperative Law.
- Manages process for requests for information and/or requests for inspection of documents by residents.
- Receives phone communications and takes messages; prepares and maintains contact lists and schedules; documents, tracks, facilitates action items on behalf of the General Manager and Vice President & COO.
- Performs special projects as assigned and as necessary including but not limited to: M&O Agreements, Emergency Procedures, and Board Member contact information updating.
- Records and transcribes minutes of LWCC Board and Executive Committee Meetings.
- Prepares, compiles, distributes agenda packets for Executive Committee and Board of Directors Meetings.
- Prepares and disseminates Monthly Calendar of Mutual Boards and Advisory Committees. Maintains official record of LWCC Executive Committee and Board of Directors.
- Maintains roster and attendance records of all advisory committee members and reports annually to the Board of Directors.
- Coordinates and facilitates the General Manager, Vice President & COO, and CFO calendar(s) to arrange meetings, appointments, and conferences.
- Performs legal research and legal filings, as necessary.
KNOWLEDGE & SKILLS:
- Proficiency using Microsoft Office Suite with high level of proficiency in use of MS Word.
- Working knowledge of EXCEL. Power Point, required; Access a plus.
- Knowledge of Data Management Systems.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and transcription, designing forms, and other office procedures and terminology.
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Ability to consistently provide a high level of accurate work delivered in a timely manner.
- Ability to prioritize work assignments.
- Ability to identify and respond to customer needs in a courteous manner.
- Ability to communicate clearly and concisely in writing.
- Ability to review several diverse reference sources, select and synthesize data for reports and other forms of correspondence.
- Ability to use diplomacy and discretion, when giving out information and referring and directing callers and visitors.
- Ability to follow, apply, interpret, and explain instructions and/or guidelines.
- Ability to operate standard office equipment.
