Job Summary
The Experience Services Ambassador will provide support to the Workplace Manager with all aspects of the planning and execution of internal meetings and events including catering, reservations, room setup, rentals, and audio/visual (AV). This role will be the main point of contact for meetings and events held in the on-site conference center and may also assist with off-site events as necessary.
The Experience Services Ambassador is responsible for delivering exceptional experiences for our client’s employees and guests every day through proactive communication and high touch hospitality focused service. The role is client-facing and qualified candidates must be able to exhibit exceptional customer service and communication skills.
Key Responsibilities
Demonstratedexpertisein executing high profile meetings and events with senior executive participation
Consult with conference center clients todetermineevent needs such as space, physical set-up, AV and technical requirements,catering,and event support
Primary point of contact for conference center clients; respondstoallrequestsin a timely manner.
Consistently deliverhigh standardsof care during events, exceed clientexpectations,andanticipateneeds
Manages all operations, functions, andlogisticsfor conference center including scheduling of the conference center using client scheduling software, ordering catering, troubleshooting AV and other set up issues
Collects feedback from business line stakeholders and client attendees to integrate into continuous improvement effort
Complete all tasks and projects as directed and ensuretimelydelivery based on deadlines
Engages in a culture of continuousimprovement and innovation byadopting andparticipatingin the development of best practices, new tools and other ideas that provide service delivery efficiencies
Establish rapport andmaintainrelationships with events and conference clients
Handle all administrative support for the conference center and off-site meetings and events, including but not limited to, preparing cost quotes, presentations, responding to inquiries and requests
Provide information and direction to vendors, facilities staff and other service providers asrequiredto ensure excellent coordination and execution of work, with minimal disruption
Follow established escalation procedures and incident reporting procedures
Perform/ stock pantry and suppliesdaily to main kitchens and cafes
Provide backup support for reception
Other duties, as assignedor requested by manager
ServeSafeFood HandlerCertification REQUIRED
Qualifications
Bachelor’s degreedesiredor equivalent work experience
1-3years of experience in event planning, project management, hospitality, event planning or related field
Excellent verbal and written communication skills with the ability to communicate professionally
Exceptional customer service skills with a passion for hospitality
Requires the willingness and ability to travel as needed
Proven leadership skills with the ability to manage multiple priorities and deliver results in afast-pacedenvironment
Track recordof initiative,integrityand goodjudgement
Highly collaborative with strong interpersonal skills
Proficient skills in Microsoft Office Suite(Excel, Word, PowerPoint,Visioand Outlook)
