Jamison Professional Services, Inc. (“Jamison”) is currently seeking a qualified and motivated candidate for the position of Facilities and Classroom Support.

Job Title:Facilities and Classroom Support - Frederick, Maryland
DESCRIPTION OF SERVICES:
The VAAA facility is located at 7485 New Horizons Way, Frederick, Maryland 21703. The facility is 68,540 square feet and includes office and cubicle space, 15 classrooms, 15 break-out rooms, 3 distance learning rooms, and 8 conference rooms. The contractor shall provide day-to-day building operations support, monitor and track VAAA facility operations, provide VAAA main lobby desk support, and prepare classrooms and conference rooms for upcoming face-to-face (F2F) classes and meetings. The contractor shall move boxes, crates, books, camera/video equipment, electronic equipment, office and classroom supplies, mail packages, and other items, which will usually not weigh more than 30 pounds. In addition, the contractor will move modular walls within the classrooms and conference rooms to set up and break down classroom and conference room space.
REQUIRED AND DESIRED KNOWLEDGE, SKILLS, AND ABILITIES:
Minimum Requirements
- Required Qualifications High School diploma or equivalent.
- Operating knowledge of and experience with typical office equipment, such as telephones, copier, fax machine, Email, 10-key, etc.
- Must be proficient in Microsoft Office 365 suite of applications specifically Word, Excel, and PowerPoint.
- Must be able to lift/move up to 30 pounds.
- Excellent customer service.
- Excellent written and verbal communication.
- Ability to greet visitors and provide general support.
- Ability to answer, screen and forward incoming calls.
Preferred Qualifications
- Associates degree in related field in support of the task order.
- 1 year experience providing classroom support.
- Knowledge of Agilquest classroom and conference room scheduling application.
- 1 year experience providing technical support for audio visual presentation technology.
- 1 year experience providing technical support for classroom technologies.
- 1 year experience providing reception/ administrative support.
- Knowledge of information technology computer systems and software.
- Skilled in routine troubleshooting and diagnostic techniques and common practices.
- Skilled in identifying and solving problems.
- Skilled in effectively prioritizing and executing tasks.
JOB DUTIES AND RESPONSIBILITIES:
The contractor must provide the following Facility Management Metrics Support:
- Capture space management and utilization, emergency drills responsiveness and participation, and provide metrics of office supplies and demand of computer equipment and supplies.
- Utilizing the daily maintenance and inspection report, document the operational status of the following VAAA facility operations:
o Building systems maintenance and lifecycles.
o Maintenance and energy savings practices.
o Building technology applications.
o Building security equipment and system programs.
- Maintain the VAAA building space management charts.
The contractor must provide the following Facility Management Communication:
- Report any building/classroom issues to the Facility Manager or Director, ESS.
- Provide written and verbal communications as required to ensure VAAA’s occupants and visitors are advised of building operational status or safety issues.
The contractor must provide the following Daily Facility Front Desk Support:
- Provide support to VAAA students, instructors, and employees with administrative tasks, such as making copies, printing documents, faxing documents, gathering supplies, and announcing building visitors.
- Receive, respond, and track daily administrative task requests from ESS customers and stakeholders.
- Maintain the “VAAA Employee Name and Phone Number List”.
- Provide Academy front desk coverage during the hours of 7:30 a.m. ET to 5:00 p.m. ET. Monday – Friday, except for Federal holidays.
- Direct Academy visitors and students to their destinations.
- Answer incoming calls to the Academy and respond to the caller’s general questions or forward/direct the caller to the appropriate point of contact (POC).
- Handle requests for general assistance received from visitors and students in an efficient and timely manner.
- Perform a variety of other office tasks, such as faxing and emailing.
- Create VA temporary badges for visitors and students, as needed.
- Inform appropriate POCs when visitors arrive at the Academy.
- Handle incoming and package outgoing mail per the VAAA Mailroom SOP (the contractor cannot sign for or send out mail or packages).
The contractor must provide the following Classroom and Conference Room Support:
- Prepare classrooms for upcoming classes, to include the following tasks (Note: Classroom set-up will occur by 3:00 p.m. ET on Fridays of each work week or Thursdays by 3:00 p.m. ET, if Friday is not a scheduled workday):
- Utilize relevant SOPs to ensure classrooms are appropriately stocked with classroom supplies prior to scheduled class/course offerings.
- Distribute class/course materials supplied for the training per the class/course
- requirement.
- Set-up each classroom desk with the required class supplies (books, pencils/pens, notebooks, name tents, training materials, etc.).
- Modify classroom set-up in accordance with the weekly classroom and conference room schedule provided by the OOR to the Contractor PM/TL.
- Prepare student sign-in sheets and facilitating student sign-in and tracking.
- Collect and submit to the appropriate OOR POC and school POC, a copy of the completed student sign-in sheets no later than 10:00 a.m. ET on the first day of all face-to-face (F2F) classes.
- Provide coordination between VAAA staff, students, and instructions and onsite IT support with earning technology support to include resolving technology disruptions, as quickly as possible.
- Facilitate ad-hoc requests for classroom or conference room set-up provided by the Facilities Manager to the Contractor PM/TL.
- Work closely with IT to resolve any VAAA conference room or classroom technology issues.
- Respond in writing to requests from internal and external stakeholders for conference room reservations by utilizing the VAAA’s classroom and conference room scheduling application (currently using Agilquest.
