Overview:The Facilities Coordinator will support the smooth operation of the facility by managing the physical work environment, coordinating maintenance, overseeing equipment functionality, and ensuring safety standards are met. This role is integral to maintaining a safe, clean, and efficient work environment, supporting both employees and operations by handling daily facility needs and responding to unexpected issues as they arise.
Responsibilities:Equipment Management and Maintenance
- Regularly inspect and ensure that assigned equipment is fully operational and available for use.
- Coordinate repairs and preventive maintenance for facility equipment to prevent disruptions in daily operations.
- Maintain and update preventive maintenance schedules for buildings and critical equipment.
Facility Maintenance
- Keep all areas of the physical space clean, organized, and in good repair.
- Conduct routine inspections to identify any necessary repairs or maintenance tasks, addressing issues promptly to ensure a safe, functional environment.
- Handle or escalate work order requests and manage resolutions to maintain efficient operations.
Vendor and Contractor Coordination
- Serve as a primary point of contact between the organization and any external contractors needed to address specialized maintenance or repair issues.
- Schedule, oversee, and evaluate contractors' work to ensure high standards and adherence to project requirements.
Safety and Compliance
- Implement and uphold safety standards across the facility to meet legal and regulatory requirements.
- Participate actively on the emergency preparedness team, contributing to contingency planning, drills, and crisis response strategies.
- Assist with applications for environmental permits as required, ensuring compliance with regulations and environmental standards.
Inventory Management
- Maintain a well-organized inventory of maintenance supplies, tools, and equipment.
- Track and reorder supplies as needed to support uninterrupted facility operations.
Communication and Documentation
- Draft and maintain clear records, reports, and logs regarding facility maintenance schedules, completed work orders, and inspections.
- Communicate updates and facility-related information to employees and other stakeholders as needed.
Additional Responsibilities
- Take on additional duties as assigned by the Facilities Manager, adapting to the dynamic needs of the facility.

Education and Experience:
- A high school diploma or equivalent is required.
- Minimum of two years of related experience in facility maintenance or operations, with hands-on experience in a similar role preferred
- Communication Skills:
- Excellent verbal and written communication skills to liaise effectively with internal teams, vendors, and contractors.
- Technical Proficiency:
- Competence in Microsoft Office Suite and relevant software for creating reports, tracking work orders, and maintaining logs.
- Organizational Skills:
- Strong attention to detail and organizational skills to manage multiple tasks and maintain thorough records.
- Problem-Solving and Adaptability:
- Ability to troubleshoot issues independently and perform effectively in a fast-paced environment, adjusting priorities as needed.
Reasoning Ability
Ability to apply common sense understanding to carry out detailed and involved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
The ability to recognize and evaluate technical issues and limitations is required. The ability to define and manage expectations is critical. The ability to make sound decisions and actions is required.
